How you will contribute as part of the TRCA team:
Working with key colleagues within the Communications Marketing and Events team, such as designers, web coordinators and communications specialists, you will be responsible for managing the planning, coordination, and delivery of multi-channel communications and marketing production projects, including print, digital, and web content, across multiple stakeholders.
Major Responsibilities:
Leads and manages end-to-end production workflows for communications and marketing materials, from intake through to final delivery, ensuring alignment with project objectives, timelines, and quality standards
Acts as the primary liaison between designers, TRCA business units, printers, and external production vendors to coordinate the development of print and digital materials, including signage, publications, campaign assets, and event collateral
Develops and manages detailed project plans, schedules, and budgets, ensuring projects are delivered on time and within approved financial parameters
Oversees production budgets, including cost estimates, vendor quotes, purchase orders, and invoice tracking, and works closely with procurement and finance teams as required
Leads the coordination of external vendors, including print suppliers, fabricators, and other production partners, ensuring deliverables meet TRCA standards and specifications
Prepares and supports procurement processes, including the development of scopes of work, Requests for Proposals (RFPs), and vendor evaluations in collaboration with the procurement team
Serves as the lead coordinator for web content updates, liaising between TRCA business units, internal web coordinators, and external vendors to ensure timely, accurate, and accessible website content
Monitors project performance, identifies risks or bottlenecks, and implements solutions to maintain project momentum and delivery timelines
Maintains documentation, templates, and tracking systems to support efficient project management and reporting across multiple concurrent initiatives
Prepares updates, reports, and briefings on project status, production outputs, and performance metrics for internal stakeholders
What will you need to succeed:
Education (degree/diploma/certifications)
Post-secondary diploma or degree in Communications, Marketing, Public Relations, Digital Media, Graphic Communications, Project Management, Business Administration, or a related field.
Valid Ontario Class G2 driver's license.
Experience
Minimum five years of progressive experience coordinating and managing communications, marketing, print production, digital production, or web content projects in a complex organizational environment
Knowledge/Skill/Ability - Competencies
Excellent written and verbal communication skills to communicate project status for various audiences,
prepare reports and proposal writing; and analytical skills
Knowledge of procurement practices, program management and risk management concepts
Able to self-manage workload and prioritize tasks as an ongoing challenge in a frequently fluctuating workload and multiple deadlines
Ability to design and conduct stakeholder engagement and facilitate program discussions
Excellent interpersonal skills and ability to work as a team member to coach staff and work with stakeholders (internally and externally); ability to deal tactfully and courteously with stakeholders, public officials
Strong budget management and cost control skills
Proficiency in MS Office suite including online software such as MS teams, WebEx, and SharePoint
