Summary: The Fundraising Events Coordinator is responsible for supporting the success of City Park Conservancy’s fundraising, cultivation and community awareness events, along with overseeing sponsorship solicitation, cultivation, and tracking and fulfillment for those events. Under the direction of the Fundraising Events Manager, this role assists in coordinating fundraising and cultivation events in collaboration with staff, committee chairs, and volunteer leadership. Supports plans to identify, cultivate, solicit, and recognize event underwriters/sponsors and other event participants and provides staff support for relevant committees. Supports event logistics, vendor load-in and load-out, and supply procurement. The position also supports donor stewardship activities and builds relationships and familiarity with the community of supporters and partners. Essential Duties and Responsibilities: Other duties may be assigned.Fundraising and Events Administration (60%) - In collaboration with the Fundraising Events Manager, coordinate fundraising event sponsorship solicitations, tracking pledges, recognition fulfillment, corporate support, and tickets sales along with park-wide event sponsor solicitation lists and calendar with direct accountability for goals set forth in the annual budget and strategic plan
- Support event sponsorship campaigns, including direct mail, e-campaigns and personalized solicitations, including timeline, list development, communication strategies, and compelling material development, including mail briefs for each solicitation campaign, seeking content, input, and overall objectives and strategy on copy, mail segment(s), and art from development and communications team
- Coordinates solicitation, tracking, processing and keeps accurate records of event donation needs, including raffle, restaurant, auction, sponsor, and invitation lists
- Maintain accuracy of donor tracking systems related to event sponsors, ticket sales, in-kind gifts, and prospective donors
- Report on outcomes of fundraising event programs on a regular basis, including event sponsorships, ticket sales, auction, and in-kind gifts
- Assist Fundraising Events Manager in planning and implementation of cultivation events, including guest list creation, invite solicitation, tracking, check-in, and donor experience
- Supports research, identification, cultivation, and solicitation of new and existing donors for enhanced or increased partnership opportunities to support fundraising events in collaboration with the Development Team
- Process gifts and acknowledgement letters, ensuring proper fiscal procedures and reporting
- Develop and maintain event website pages, including up to date donor recognition listings and fulfillment
- Coordinates retention and growth strategy for event donors, as part of an overarching moves management plan, while keeping staff on set timelines, and tracking stewardship moves in Raiser’s Edge
- Ensure a personalized donor experience with a focus on year-over-year growth in the average donation and expansion of current donor list
- Support Fundraising Events Manager in assessing any decline in retention rates and providing strategies for remedying.
- Supports and monitors sophisticated stewardship program that cultivates, acknowledges, engages, and recognizes donors in a timely and appropriate manner through thoughtful and consistent contact to promote life-long giving
- Pursues continuing education and growth in proficiency with Raiser’s Edge Database, event ticketing platform, and CRM systems and in donor relations best practices
- Work with staff and other organization departments to ensure donor data integrity and accurate information input and reporting
On-Site Coordination (30%) - Supports Fundraising Events Manager in event setups and takedowns, assisting in creating timelines, facilitating vendor relationships, procuring event supplies, auction and registration logistics
- Participate in fundraising and cultivation outreach, projects, and events.
- Support on-site registration at event check-in tables
- Attend fundraising events, approximately 12 times per year, some nights and weekends required
Office Administration (10%) - Supports office supply, departmental invoice processing, fundraising and membership event support.
- As directed by the Fundraising Events Manager, performs other duties as assigned to support the overall department and organization.
Qualifications and Education Requirements- Bachelor's degree (B. A.) from four-year college or university; or three years related experience [CD1] and/or training; or equivalent combination of education and experience.
- Fluent knowledge with Raiser’s Edge or similar platform CRM required; familiarity with online event platforms preferred[CD2] [AK3]
- Knowledge of fundraising information sources, familiar with a variety of the field’s concepts, practices, strategies, procedures, and research techniques for fundraising prospect research
- Excellent interpersonal skills, ability to work easily and effectively with a wide range of people including donors, board members, volunteers, team members, and other nonprofit representatives
- Ability to write in a compelling and concise manner with a keen eye for detail
- Conceptual thinking with the ability to think in terms of abstract ideas and ability to produce a new concept or idea
- Sensitivity to and respect for the privacy rights of donors in all communications
