This role is part of the Company’s North American team, which is focused primarily on the development of solar and BESS projects in the United States and Canada, with most current activity in the United States. We identify, secure, and advance high-quality sites through the full development cycle, from early-stage land acquisition to construction readiness. The Role
We are seeking a highly organized, detail-oriented, tech-savvy, and proactive Land Acquisition Coordinator to support the Company’s land acquisition function. Reporting to the Land Acquisition Strategy Manager, this role is responsible for maintaining clean and reliable CRM data, coordinating outreach logistics, organizing prospect information, and supporting consistent execution across the land acquisition funnel.
This role is focused on land acquisition coordination, CRM administration, outreach support, and landowner-touchpoint management. It is ideal for someone who is exceptionally organized, comfortable managing a high volume of moving pieces, and energized by building order, consistency, and follow-through in a fast-moving environment.
This is a hybrid role based in the Company’s Liberty Village office in Toronto, with an expected schedule of at least three days per week in the office and the balance worked remotely from your home office, subject to business needs and the Company’s hybrid work practices from time to time.
Duties & Responsibilities
CRM and Prospect Data Management
- Maintain accurate, current, and well-organized records in the Company’s CRM, including prospect details, landowner information, outreach activity, notes, and status updates.
- Clean, standardize, and upload prospect lists, including reconciling ownership, address, parcel, and acreage information against source materials and public records.
- Monitor CRM hygiene on an ongoing basis by identifying duplicates, missing information, outdated records, and inconsistencies.
- Maintain internal trackers and supporting data so the land acquisition pipeline remains organized, current, and actionable.
- Support reporting on outreach activity, pipeline movement, and other key land acquisition metrics.
Outreach and Team Coordination
- Coordinate outreach logistics, including mail campaigns, printed materials, response tracking, and related vendor coordination.
- Prepare prospect research, lists, and supporting materials for the Land Acquisition Strategy Manager and Field Agents.
- Support occasional outbound follow-up communications when needed, such as confirming information or coordinating next steps.
- Maintain templates, mailer materials, FAQs, and other recurring outreach resources.
- Identify administrative bottlenecks, follow-up gaps, and workflow issues, and raise them to the Land Acquisition Strategy Manager.
Landowner Touchpoints and Administrative Support
- Track incoming landowner inquiries and route them promptly to the appropriate internal contact.
- Coordinate landowner touchpoints such as gift baskets, holiday cards, event communications, and other relationship-management logistics.
- Support meeting coordination, follow-up tracking, and day-to-day administrative needs of the land acquisition function.
- Organize and support the Company’s marketing campaigns, including attendance at trade shows, fairs, farmer events, and related logistics.
- Organize and maintain land acquisition-related documents, correspondence, and supporting materials in SharePoint and other internal systems in accordance with Company standards.
Qualifications
- 3+ years of real estate development experience, supported by a strong foundation in real estate fundamentals.
- Exceptional organizational skills, with the ability to manage a high volume of small but important tasks accurately and consistently.
- Strong systems fluency and comfort working in CRM platforms, data trackers, and process-driven workflows. Experience with Monday.com, SharePoint, Microsoft 365 (including Excel), and similar business tools is strongly preferred.
- Tech-savvy and comfortable learning new tools quickly, including AI tools, email platforms, and other software that supports team execution.
- Strong written communication skills and sound judgment in handling external communications.
- Service-oriented, responsive, and reliable, with a strong instinct for follow-up and coordination.
- Experience supporting a sales, business development, real estate, or land-focused team is an asset.
