1 Stakeholder Management
- Manage and maintain relationships through regular contact with Directors, Site Staff, Support Divisions, Design Office, Customers and Suppliers
- Projects:
*Produce project plan to Business Unit Manager (MS Project Plan)
*Prepare bi-weekly report on project performance
*Present completed tenders to Divisional Director
2 Project Management - Planning, Design & Execution:
- Manage all aspects of at least (but not limited to) one significant engineering project from start to finish
- Development of a detailed Project Plan aligned to overall deliverables and Project life cycle:
*Participate in the project handover meeting
*Manage the Design Process and organize relevant meetings
*Define the scope of projects and resulting implementation plans
*Define, in consultation with managers, the benefits, costs, key result areas and success criteria for defined projects
*Define project stages and the objectives and costs associated with each stage
*Create, maintain and utilize detailed project schedule, in order to complete project within budget and contractual delivery
*Identify & Manage resources required at each project stage to meet project objectives and negotiate the release of these resources
*Arrange and procure major and minor equipment (including secondary resources) according to the project plan
*Prepare, approve and track orders
*Arrange and conduct the handover and monthly meeting to site staff
*Arrange and secure transportation and /or shipping services
*Negotiate, secure and manage the services of Sub Contractors within levels of authority
- Manage FAT
- Track Project Plan, adjust plan accordingly when required
3 Project Management: Monitoring & Report:
- Monitor and report on project progress in a structured manner, drawing particular attention to deviations from the original project plan with regards to schedule and cost
- Monitor and report on financials relating to overall Project : Cash flow, Supplier Invoices, Customer Invoices, Debtors, Sureties Bonds, Guarantees
- Record and keep proceedings of each meeting and file according to quality system to ensure accessibility
- Maintain and update project plan
- Direct and control the project to ensure that the team achieve their objectives and that the best possible use is made of available resources
- Meetings with client as required
- Regular site visits
- Prepare and handover manuals to client
- Project post-mortem
4 Project Tenders:
- Manage entire tendering process for (but not limited to) small tenders
- Attend site inspections and meetings
- Assist in the preparation of medium to large tenders
- Evaluate and manage Tender clarifications
- Prepare budget estimates
- Ensure all Technical- Commercial- & Contractual requirements are adhered to
- Tender Returnable:
*Analyse and complete technical schedules
*Prepare Tender Drawings
*Compile plant & labour histograms
*Compile Organograms
5 Risk Management:
- Responsible for complete contracts Management
- Ensure SHEQ compliance:
*Close out PI's
*Ensure Reporting of all incidents and near-misses
*Ensure legal appointments are done
*Notification to department of labour on Construction commencement
*Ensure completion of quality sheets
*Ensure Environmental compliance
- Plan around possible Project Risks:
*Provide sufficient Security on Site
*Arrange for necessary Transportation
*Arrange and manage Shipping services / facilities
*Ensure Arrangement of Work Permits
*Arrange Insurance
- Plan around possible Financial risk:
*Manage ROE, CPA and LC risks
*Communicate and manage Early warnings
*Raise and approve Variation orders
6 Customer Perspective
- Communication to Internal Customers:
*Provide Divisions with accurate information, specifications and designs, to enable deliverance of accurate relevant information for the tender and high quality designs
- Communication to External Customers:
*Provide outsourced service provider with accurate specifications and designs, to enable deliverance of accurate price and data information for the tender and high quality designs (supplier function)
7 Financial Focus
*Eliminate unnecessary expenses:
- Ensure operating costs are in balance with expected outcome thereof
- Keep waste to absolute minimum
- Implement cost saving initiatives as and where possible and applicable
*Ensure settlement discount
*Ensure Suppliers are paid on time
*Manage Project debt effectively
*Monitor project expenditure: actual vs. budget
*Improve or at least achieve on tender profit.
*Identify variation orders
