Job Description
This role will be focused on essential administrative duties to support a team of clean energy leaders. This is a part-time opportunity with a requirement to be in the office located in the West End neighborhood of Washington, DC near the Foggy Bottom metro station, between 10-15 hours per week, sometime during business hours, 9-6pm EST. The Office Admin will guide in-person team office activities, categorize and forward correspondence, manage office supplies, mail distribution, key fobs, and complete additional tasks as needed to optimize productivity and ensure business continuity. We are looking for someone who is friendly, welcoming, and organized. In this role, you will be responsible for ensuring all mailed correspondence reaches the right party and employees can access the office with the supplies needed stocked. This person will report to the Manager of Culture and Engagement and will not have direct reports.
Responsibilities
- Coordinate and categorize mail correspondence across departments
- Ensure that all employees and guests are welcomed and comfortable while in the office.
- Ensure optimal operation of equipment, supplies, and inventories with preventive maintenance.
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, office layout, etc.
- Coordinate internal and external resources to expedite workflow.
- Be the eyes and ears of the office, providing information, answering questions, and responding to requests.
- Oversee and achieve organizational goals while upholding best practices.
- Perform general administrative tasks, including answering and directing phone calls, mail and email correspondence, faxing, filing, sending and receiving deliveries, and coordinating meeting room calendars.
- Perform any other related duties as required or assigned.
Qualifications and Skills
- A high school diploma, plus 1-2 years of related experience.
- Ability to read and understand simple instructions, short correspondence, notes, letters, and memos.
- Ability to maintain professionalism through all forms of communications made internally and externally in or about the company.
- Ability to write routine reports and correspondence.
- Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, the general public, and other employees of the organization.
- Ability to use desktop/laptop computers and software daily.
- Basic knowledge of mathematical skills.
- Excellent communication skills, both verbal and written.
- Intermediate knowledge of Microsoft Office Suite
- Interest in supporting clean energy leaders across functional roles by maintaining the in-person office environment to support renewable electricity generation expansion.
Travel
- 100% onsite at the Headquarter Office by the waterfront in Georgetown, Washington, DC
Physical Demands
- The ability to lift up to 50 pounds

Compensation
This is a part time position with a rate of $20-$25 per hour based on qualifications and experience, working between 10-15 hours per week.
