Executive Assistant
ORGANIZATIONAL OVERVIEW
Through its visionary leadership and high impact staff, the Natural Areas Conservancy (NAC) champions urban natural areas in New York City and across the nation through innovative research, partnerships, and advocacy. We increase the health and resilience of urban forests and wetlands, catalyze connections between people and nature, and strengthen the environmental workforce.
Started in 2012, the Natural Areas Conservancy is the first park conservancy dedicated exclusively to New York City’s natural areas–20,000 acres across all five boroughs. Since 2019, we have also worked on a national scale, leading a network of representatives from cities across the U.S. to strengthen research, information sharing, and communication efforts to enhance the field of urban forest management.

POSITION OVERVIEW
The Executive Assistant will report to the Deputy Director of Public Programs & Operations. This person will support NAC’s Executive Director and executive team to maximize their impact and will provide ongoing administrative support and office management to the passionate, committed, and driven staff of the NAC. The ideal candidate is efficient, detail-oriented, and proactive, establishing order and systems to keep our team on time, on track, and organized.
MAJOR RESPONSIBILITIES
Executive Team Support (50%)
Provide support for the Executive Director and other executive staff.
Lead in scheduling meetings, organizing meeting notes, reports and follow ups for the Executive Director, including correspondence and scheduling for and with the Board of Directors.
Coordinates important external stakeholder or all-staff NAC meetings, including but not limited to preparing and distributing agendas and other meeting materials, and reserving and preparing facilities
Office Management (35%)
Provide facility support at Arsenal North, the Transit Center and elsewhere as needed, such as floor plans, reservations systems, and supplies.
Coordinate hotel and venue reservations for company-wide events such as company all staff meetings and other conferences. Supports the HR department with onboarding new employees to have access to all systems and facilities.
Manage purchasing and procurement on behalf of the Natural Areas Conservancy. Coordinate purchasing for organizational supplies, staff gear and equipment. Maintain and follow a budget for office supplies and company events
Book travel arrangements for staff traveling to job-related conferences
Perform general administrative duties including but not limited to filing, printing, and mailing
Event Support (15%)
Independently plans occasional small events for the organization such as trade shows, job fairs, or celebrations/happy hours
Supports day of logistics for larger events held by the organization, such as setup, facilitating, meeting and greeting, and breakdown
Some evening and weekend support may be required during the year for special events
REQUIRED SKILLS/QUALIFICATIONS
High school diploma required, college degree preferred
3-5 years of past experience in similar role
Excellent verbal and written communication skills
Demonstrated experience with Google Suite
Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow; ability to follow written and verbal instructions
Ability to deal effectively with a diversity of individuals at all organizational levels
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
PREFERRED SKILLS/QUALIFICATIONS
Experience supporting executive team with developing presentations or meeting collateral for board meetings and other high profile external events
Ability to provide basic technology support
Loves nature and the great outdoors!
JOB LOCATION:
NAC currently offers a hybrid remote work schedule, with staff reporting to the Manhattan office a minimum of 40% of their time. When working remotely, access to a reliable network connection is required.
COMPENSATION/BENEFITS
The NAC is offering a salary of $62-$67,000 for this position at 35 hours/week, in addition to a competitive benefits package including generous 15 days vacation, 10 sick/safe days, 2 personal days, medical/dental/vision insurance, 401K with 4% employer match, and annual professional development funds. This position is eligible for overtime pay.
