JOB SUMMARY:
The Philanthropy Data Analyst & CRM Administrator designs, directs and manages all aspects of data management necessary to build and sustain a comprehensive program of development responsible for raising over $13M annually. This individual also leads the development, management, analysis, and distribution of information and data about organizational prospects and the Aquarium’s interactions with organizations to aid frontline development staff and senior administrative leaders in building relationships aimed at fundraising. The Philanthropy Data Analyst & CRM Administrator will manage the Philanthropy Services Coordinator in their duties related to the functions of this position, including data management and gift entry tasks.
The Philanthropy Data Analyst & CRM Administrator reports to the Director of Grant Partnerships & Philanthropy Services.
KEY REQUIREMENTS:
- CRM Management & Administration
o Lead the maintenance and management of Philanthropy’s Salesforce environment and data integrity, including but not limited to record management, reviewing and updating the system for data collection changes, and maintaining security profiles for accessing data.
o Create, update, and manage CRM system documentation.
o Collaborate with IT on CRM upgrades, testing, and troubleshooting.
o Maintain membership in professional associations and listservs to build industry/community support resources.
o Provide training on CRM functionality and other software tools for use in daily operations, and create/update processes, standards, and documentation for system usage and reporting.
o Collaborate with Philanthropy team members to stay current on fundraising programs and procedures in order to effectively implement the technology required to support programs, data analysis, reporting, and strategic goals.
o Stay abreast of best practices in Philanthropy and leverage the CRM technology to meet these standards.
o Address inquiries and requests from Philanthropy users and users of Philanthropy CRM assets (e.g., dashboards, report) for technical CRM-related assistance.
- Finance & Accounting Collaboration
o Process all Philanthropic revenue.
o Reconcile financial information in Salesforce against Sage Intacct for accurate postings.
o Work closely with Finance to process and reconcile revenue and provide monthly revenue reports.
o Assess all CRM new releases to evaluate which new features could benefit our users and which enhancements to old procedures have been implemented.
- Reporting
o Identify data needs and produce reports, dashboards, and other data visualizations for critical functions of the Philanthropy and Finance teams, including planning, budgeting, and reconciliation.
o Compile data, create, develop, and edit reports, generate statistics, and build dashboards to evaluate system data.
- IT Collaboration
o Support software updates by researching key changes, recommending implementation decisions, collaborating with other technical and functional staff in the development and implementation of test plans and customized documentation.
o Engage IT to perform data imports and exports of leads, case creation, and information to and from external vendors.
o Act as point of contact with IT team to manage integrations between the CRM and other systems to maintain the confidentiality, integrity, and security of the CRM system.
o Serve as a member to organization-wide technology workgroups.
o Collaborate with the information technology team to build new features needed to enhance the processes of the CRM for Philanthropy, with a focus on usability of all users.
- Remove old data to clear up space in the CRM. Update usable reports and dashboards and remove the older ones created for single use.
Other
o Supervise the Philanthropy Services Coordinator in their duties related to this role, including delegating tasks and providing feedback on performance.
- Performs other duties as assigned.
QUALIFICATIONS:
- BA/BS, and a minimum of 5 years’ experience working in nonprofit CRM management, preferably in a fundraising setting.
- Expertise in Salesforce (record management, query and report design), preferably in a not-for-profit environment.
- Ability to compile, analyze and interpret complex relational database information.
- Comprehensive knowledge of fundraising terminology and processes
- Demonstrated ability to analyze, synthesize, and clearly report on a high volume of information in a reasonable timeframe.
- A disciplined self-starter able to set objectives, activate plans, and manage performance.
- A motivated team player who can engage and inspire colleagues.
- Outstanding written and personal communication skills and attention to detail.
- Ability to deal with confidential information.
- Demonstrated ability to share skills and knowledge with others.
- Proficiency with office computer equipment and software.
Total Compensation Information:
Salary range: $54,400-61,863 per year
National Aquarium provides an excellent benefits package, including four weeks paid time off, six paid floating holidays, up to four weeks of paid family leave and conservation day leave. Employees are eligible for health care (individual and family) after 30 days of full-time work and 401(k) plan participation with employer match available.
