JOB DESCRIPTION:
The National Aquarium is seeking an Individual Giving Specialist to support the daily operations of the Philanthropy department, including Membership and Annual Giving programs. This key support position will oversee fulfillment activities, order and maintain accurate inventories of office supplies, collect and processes incoming and outgoing mail, monitor postage accounts, update CRM records and provide a high level of customer service to all Aquarium guests, partners and supporters. This position will also support and collaborate with Administrative Services to support key office functions on an as-needed basis.
Reporting to the Director of Membership, the Individual Giving Specialist is a member of the Philanthropy Department and reports to the Candler Building.
KEY REQUIREMENTS:
Membership Fulfillment & Office Support
· Processes and maintains daily records of all membership fulfillment reports.
· Prints and prepares all membership acknowledgements and membership cards.
· Completes requests for member card reprints, tax receipts and other correspondence.
· Processes all returned mail, corresponds to update contact information in relevant databases.
· Maintains inventory and coordinates timely reordering of Membership/office supplies.
· Fulfills requests for member advance tickets and admission passes.
· Activates, fulfills and supports all requests for annual staff and volunteer memberships.
· Supports data entry tasks in relevant databases (e.g. contact updates, deduping).
· Supports additional Philanthropy events, activities and projects as assigned.
Philanthropy Volunteer Support
· Oversees daily management and supervision of Individual Giving volunteer(s).
· Coordinates with supervisor to address and resolve performance opportunities.
· Works closely with Volunteer Supervisor to complete annual performance reviews.
Philanthropy & Candler Mail Support
· Collects and distributes all incoming mail to Philanthropy staff.
· Collects and meters all outgoing membership and Philanthropy mail.
· Sorts and distributes all incoming mail packages to Candler office staff.
· Monitors postage meter levels and alerts Operations Coordinator to replenish funds.
· Supports additional mailing and office activities as assigned.
· Acts as backup for Administrative Services Partner on an as needed basis.
QUALIFICATIONS:
· 2-3 years of experience working in an office environment or customer facing role.
· Bachelor’s degree or equivalent work experience.
· Highly organized and self-directed with keen attention to detail.
· Ability to complete tasks independently and contribute as part of a larger group.
· Ability to meet deadlines and manage multiple taks while maintaining quality.
· Ability to identify errors, problem solve and implement solutions effectively.
· Proficiency in Microsoft Excel, including organizing large data sets, formulas and basic functions.
· Proficiency in Microsoft Office tools, including Word, Outlook, Teams/Zoom.
· Proficiency in databases, data entry and basic math competencies.
· Professional demeanor with strong written and verbal communication skills.
Total Compensation Information
Hourly range: $17.20-21.87 with hours worked over 40 paid as overtime, holiday premium pay, and extra pay for night work.
National Aquarium provides an excellent benefits package including four weeks paid time off, six paid floating holidays, up to four weeks of paid family leave and conservation day leave. Employees are eligible for health care (single and family) after 30 days of full-time work and 401(k) plan participation with employer match available. Employees receive a family membership package and Aquarium tickets.
