Project Coordinator, School of Environment and Sustainability
Summary:
The project coordinator coordinates the administrative, operational, financial, and reporting activities of assigned research projects and initiatives. This position supports the successful delivery of projects by overseeing project plans, budgets, timelines, reporting requirements, stakeholder communications, governance activities, events, and travel logistics. Working closely with project leadership, researchers, funding agencies, and domestic and international partners, this role monitors project progress, supports accountability requirements, and maintains project records and documentation. This position coordinates the collection and reporting of project information, facilitates collaboration among stakeholders, and supports governance and engagement activities. The coordinator also coordinates funding-related processes, financial administration, and knowledge mobilization activities to advance project objectives and deliverables.
Duties and Responsibilities:
- Coordinates the planning, organization, implementation, monitoring, and administration of assigned research projects and initiatives.
- Develops and maintains project workplans, timelines, milestones, deliverables, reporting schedules, and project records management systems.
- Develops, monitors, reconciles, and forecasts project budgets in collaboration with project leadership.
- Interprets and applies funding guidelines, funding agreements, and university financial policies to support accountability and compliance requirements.
- Coordinates funding transfers, contracts, micro-grants, and other financial agreements with project partners.
- Tracks revenues and expenditures, investigates budget variances, and prepares financial reports and forecasts.
- Coordinates the collection, analysis, compilation, and reporting of project information, performance metrics, and outcomes.
- Prepares and coordinates annual, ad hoc, and funding-related reports for funding agencies and project partners.
- Serves as the primary administrative liaison between project leadership, researchers, collaborators, funding agencies, governance bodies, partners, and university departments.
- Coordinates governance and advisory committee meetings, including scheduling, preparation of materials, minute-taking, and follow-up on action items.
- Monitors project progress, commitments, reporting obligations, and deadlines and follows up with project participants and partners.
- Coordinates the development of project communication materials, including website content, presentations, reports, and stakeholder updates.
- Supports knowledge mobilization activities and the dissemination of project outcomes.
- Coordinates the preparation and organization of project information for internal and external audiences.
- Coordinates project meetings, workshops, conferences, learning activities, and stakeholder engagement events.
- Oversees event logistics, participant communications, and operational requirements.
- Coordinates travel arrangements and related administrative processes for project participants.
- Provides guidance on travel procedures and reconciles travel-related expenses.
- Fosters communication, collaboration, and information sharing among internal and external stakeholders.
- Identifies operational issues and escalates complex matters.
- Contributes to the continuous improvement of project management and administrative processes.
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
Qualifications:
- A bachelor’s degree in business administration, project management, public administration, research administration, or a related field, a master’s degree is preferred.
- Minimum of three years of experience coordinating and administering projects and initiatives, including experience managing budgets, financial reporting, and funding-related processes.
- Experience coordinating reports, meetings, events, stakeholder engagement activities, and externally funded research projects.
- Knowledge of funding programs, policies, guidelines, and reporting requirements.
- Strong organizational and time-management skills.
- Ability to maintain multiple priorities and deadlines.
- Strong interpersonal and communication skills.
- Ability to work effectively both independently and collaboratively in a team.
- High attention to detail and accuracy.
- Strong analytical, problem-solving, and relationship-management abilities.
- Fluency in Spanish is an asset.
- Proficient computer skills, including Microsoft Office applications and information management systems.

Salary: The salary range, based on 1.0 FTE, is $53,091.00 - 82,954.00 per annum. The starting salary will be commensurate with education and experience.
