Job Summary:
The Field Equipment Coordinator supports construction operations by coordinating equipment maintenance activities, tracking equipment utilization, maintaining inspection and compliance records, and ensuring equipment readiness at assigned job sites. This position works closely with field mechanics, equipment vendors, project teams, and the Equipment Manager to help maintain safe, reliable, and compliant equipment operations.
Job Responsibilities:
- Coordinate day-to-day equipment maintenance activities at assigned job sites.
- Serve as a primary point of contact for field personnel regarding equipment issues, maintenance needs, and equipment availability.
- Schedule and coordinate preventive maintenance, inspections, repairs, and service work with internal teams and external vendors.
- Track maintenance work orders and ensure timely completion through equipment management systems (e.g., TENNA).
- Maintain accurate equipment records, including maintenance history, inspections, registrations, certifications, and compliance documentation.
- Monitor equipment utilization and prepare reports for management review.
- Conduct routine inspections of trucks, trailers, tools, and heavy equipment to verify safety, cleanliness, and operational readiness.
- Assist with maintaining equipment inventories and equipment location tracking.
- Verify equipment condition prior to transfers between job sites, vendors, and storage locations.
- Coordinate equipment transportation and ensure proper documentation, including Bills of Lading (BOLs) and transfer records.
- Review driver qualification documentation, including licenses, medical cards, and insurance requirements, and report discrepancies to management.
- Assist with DOT compliance activities, including recordkeeping and audit preparation.
- Participate in daily safety meetings, Plan of the Day (POD) meetings, and jobsite inspections.
- Verify equipment decals, labels, registration documents, and safety equipment are current and properly displayed.
- Maintain inspection logs and ensure required daily, weekly, and monthly inspections are completed and documented.
- Coordinate the ordering of parts, materials, fluids, and consumable supplies needed to support equipment operations.
- Follow up with vendors regarding repair status, parts availability, and service schedules.
- Communicate equipment downtime, repair status, and maintenance schedules to project leadership.
- Assist in tracking maintenance expenditures and provide supporting documentation for budget monitoring.
- Support incident investigations involving equipment and assist with corrective action follow-up.
- Train field personnel on equipment inspection processes, reporting procedures, and documentation requirements as directed.
- Perform other related duties as assigned.
