About the position
Canada’s Extended Producer Responsibility (EPR) system operates at a provincial level, with regulations and program requirements varying across jurisdictions. Successfully managing these distinctions while aligning with national objectives is key to program success.
We are seeking a highly motivated and organized Program Coordinator to join our Programs team! The Program Coordinator plays a key role in advancing Product Care’s Ontario programs by supporting member compliance, recycling collection partners, maintaining accurate records, supporting program resource development and reporting and ensuring exceptional service delivery to clients. This position combines program administration and coordination with a strong partner relations focus. This role reports to the Sr. Program Manager.
Responsibilities:
Partner/Business Development
Build and maintain strong relationships with internal and external stakeholders, fostering collaboration and open communication.
Support member communications, recruitment, regulatory data completeness and program administration.
Implement retention plans that include structured proactive calls, outreach schedules, and feedback collection to identify challenges and propose solutions that strengthen long-term partnerships.
Deliver reports and resources to collection partners to enhance partnerships.
Understand challenges from prospective collection partners and effectively handle objections by offering practical alternatives and solutions.
Drive recruitment of new collection site partners through proactive outreach and business development strategies, including cold calls, relationship building, and strategic targeting of retailers, non-profits, and other key stakeholders to expand program reach.
Contribute to monthly and quarterly site expansion and retention targets, tracking progress and reporting on KPIs to ensure alignment with program objectives.
Travel throughout Ontario to perform site visits and in-person meetings with partners as required.
Represent Product Care at events, tradeshows, and conferences as needed.
Program Administration
Processing onboarding forms and ensuring all required documentation is complete and following up with sites when necessary to obtain additional information.
Follow established workflow to ensure compliance and consistency across all site onboarding and retention activities.
Create and maintain CRM records, agreement tracking, contact information, Excel tracking sheets and internal databases for new and existing partners, ensuring data integrity and timely updates.
Coordinate the mailing of program materials and signage to collection sites in accordance with established timelines and procedures.
Coordinate stakeholder communication mailouts, webinars and meetings.
Regulatory and Reporting
Assess eligibility of program products under applicable regulations and maintain the existing tracking system for product classification, collaborate with other departments and regions.
Escalate product classification or reporting matters to program team.
Update internal KPI dashboards as necessary for accurate reporting and review.
Compile, review and summarize reports that support program monitoring, improvements, and regulatory reporting.
Additional responsibilities may be assigned from time to time, based on organizational needs.
What you bring
The ideal candidate will possess the following skills, experience, and qualifications:
Post-secondary education in business administration, policy, regulatory affairs, environmental studies or equivalent experience.
Minimum of 2 years’ work experience in program coordination, administration, business development, or stakeholder engagement.
Comfortable with proactive outreach, including cold calling and follow-ups, to build and maintain strong relationships.
Goal-oriented and self-disciplined, with a proven ability to meet or exceed monthly and quarterly targets.
Ability to follow structured workflows and processes while maintaining accurate documentation.
Able to thrive in a fast-paced constantly evolving environment with a complex changing regulatory landscape.
Effective communications skills, with the ability to listen, persuade and collaboratively give feedback.
Analytical thinking with very good problem solving and troubleshooting skills.
Experience in environmental or regulatory sectors would be considered an asset.
Well-coordinated project management skills.
Takes initiative, strong work ethic, can execute and gets things done.
Have Ontario G2 or G driving license and access to a reliable vehicle.
