The Work You Will Do:
The Division of State Lands, as Florida’s lead agency for environmental management and stewardship, serves as staff to the Board of Trustees of the Internal Improvement Trust Fund (Governor and Cabinet). As such, the division’s role goes far beyond just acquiring lands for protection. It provides oversight for the management of activities on more than 12 million acres of public lands including lakes, rivers and islands. These public lands help ensure all Florida’s residents and visitors can truly appreciate the state’s unique landscapes.

The Bureau of Real Estate Services (BRES) is responsible for activities related to the negotiation, acquisition, disposition, exchange, donation and closing of real property as agents to the Board of Trustees (BOT) of the Internal Improvement Trust Fund. In addition, Bureau staff are responsible for the management of statewide contracts for title and closing services, as well as environmental site assessments. BRES partners with other DEP divisions, water management districts and other state agencies as land managers to successfully negotiate terms to achieve mission critical needs.

Your Specific Responsibilities:
This position works closely with various areas of the Division of State Lands evaluating, advising, and coordinating agendas for meetings and assembling reports to assist in the effective and efficient operations of State Lands.
Coordinates the preparation and dissemination of the Division of State Lands’ (DSL) portion of the Board of Trustees of the Internal Improvement Trust Fund agenda. Provides operational coordination between the Division of State Lands and Office of Cabinet Affairs on agenda items. Maintains agenda deadline calendar for the Division. Participates in departmental and division meetings held to review and determine substance and pertinence of agenda items as they relate to Rule consistency and Cabinet policy. Reviews Agenda Staff Meeting (ASM), Pre-Agenda Staff Meeting (PASM) and the final agenda and associated meeting materials for accuracy, content, and format. Maintains and uploads items and information to the appropriate department files. Coordinates item review and edits timely between bureaus. Create and maintain library of agenda items as well as an index by subject. Drafts agenda items for DSL, as needed, and assembles all backup materials for those items.
Independently performs complex acquisition, closing and post-closing assignments for the Director’s Office and the Bureau of Real Estate Serves (BRES) as required.
Manages the initial acquisition triage review process and assists the BRES team with coordination of project assignments.
Researches information, prepares timely responses, and develops correspondence at the request of Department’s Leadership, Division of State Lands and Director of Cabinet Affairs.
Coordinates, reviews, and distributes the quarterly delegation of authority reports, and other reports for DSL and Cabinet Affairs as directed.
Performs transparent and effective communication with Cabinet Affairs, staff members and stakeholders. Sends meeting invites to DEP staff and all correspondence to Cabinet Affairs and stakeholders as needed.
Performs other duties as assigned including triage agenda process and Florida Communities Trust support tasks.
Required Knowledge, Skills and Abilities:
Knowledge of the methods of data collection and analysis. Knowledge of state government structure. Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, and other activities relating to process improvements. Ability to organize data into logical format for presentation in reports, documents, and other written materials. Ability to conduct fact-finding research. Ability to utilize problem-solving techniques. Ability to work independently. Ability to plan, organize and coordinate work assignments. Ability to communicate effectively, both oral and written. Ability to establish and maintain effective working relationships with others. Ability to work as a team member. Skill in using Microsoft Office Suite.

Occasional travel may be required.
