Role Summary:
You will be responsible for supporting project’s day to day Administration tasks and implementing our IMS (Integrated Management System) at project-level.
What you will need to do:
- Comply with company’s HSE Standards and local rules and regulations.
- Coordinate with Project ADM team in relation to day-to-day activities.
- Arrange formalities relevant to site access.
- Safe keeping of Passports (if applicable) of all employees and of resident visa of personnel on leave.
- Prepare documents for submission to Government authorities for issuance of work permit, resident visa, local driving license & international driving license.
- Prepare & submit authorization letters to various government departments.
- Arrange documents and transportation for patients visiting clinics and Hospitals.
- Periodically update employee record in coordination with the Immigration Department.
- Pay various expenses such as attestation, renewal of passports, new iqama & renewal, exit-re-entry visa and family residence visa. Collect paid invoices, prepare relevant expenditure statements.
- Arrange attestation of documents from Chamber of Commerce, Ministry of Foreign Affairs and consulates.
- Coordinates with Regional Office for Visa issuance.
- Arrange repairs and maintenance of vehicles used by the employees.
- Arrange Travel and transportation for executive managers & employees.
- Arrange Internal and external accommodation for employees and visitors.
- Arrange new phone numbers for newcoming employees. Follow up of Telephone invoices and payments.
- Maintain Satellite channels at residential camps & rental apartments.
- Keep records on lease agreements of camps, office & rental apartments and follow up of expiry date and payment.
- Report to catering service provider the employee meals, as per category & nationality, as well as payment arrangements.
- Follow up the renewal of registration cards of the company vehicles and of certificate for marine equipment.
- Perform any other related duties as assigned.
What you will need to have:
- Minimum 5 years of experience in Construction, Administration and Operations preferably in MENA Region
- Bachelor's degree in Business Administration, or other related field
- Professional working proficiency (written and oral) of English language
- Speaking fluent English
- Knowledge of MS Office Suite
