ROLE OVERVIEW
The Compliance Coordinator will be responsible for coordinating and driving the day-to-day execution of Pivot’s project compliance system using Procore as the system of record to ensure that every project meets Safety, Beginning of Construction requirements, IRA PWA (Prevailing Wage & Apprenticeship), Domestic Content, FEOC, and other reportable compliance requirements through consistent workflow management, evidence capture, reporting, and escalation across internal teams and external partners. This role will also coordinate and ensure the compliance of any and all other policy changes that impact compliance of renewable energy projects.
This is a collaborative role interfacing with legal accounting, project finance, project management, preconstruction, procurement, commercial operations and various external stakeholders.

PRIMARY RESPONSIBILITIESProcore ownership (system of record)

Use Procore (Pivot’s project management tool) to manage compliance workflows and evidence, including Action Plans, Submittals, Documents, RFIs (as needed), Meetings/Minutes (as needed), and Closeout.

Build and maintain project compliance reports in Procore and Power BI.

Collaborate with Project Managers and Directors of Project Management to drive compliance due dates via Action Plans and ensure documents are effectively routed to 3rd parties for review, amended, approved, and stored in the correct locations for future reference.

Maintain an audit-ready structure so compliance artifacts are retrievable quickly and traceable by project, compliance type, vendor, and milestone.
Compliance coordination & tracking (portfolio + project)

Maintain the portfolio compliance tracker (project requirements, owners, due dates, status, risks).

Run recurring compliance check-ins; publish action items, deadlines, and follow-ups.

Identify gaps early and escalate risks that threaten funding, milestones, tax credit eligibility, or operational readiness.

Work directly with SVP Project Delivery when issues arise and vendors or contractors are delaying major milestones from converting.
IRA / tax-credit compliance execution support (reportable items)

PWA: coordinate evidence collection, validate completeness (not legal interpretation), track exceptions/issues, and support audit readiness.

Domestic Content: educate project management team for their role in coordinating required documentation pathways and package readiness (BOMs, certifications/attestations as applicable); track completion and traceability from transition to MC through 3rd party reviews.

FEOC: educate project management team for their role in coordinating supplier/manufacturer documentation pathways and ensure evidence is collected, stored, and traceable (as applicable.)

Route interpretation questions to SVP of Project Delivery, Legal/Tax/Finance and confirm the correct artifacts are captured and retained effectively.
Safety compliance administration

Coordinate required safety compliance artifacts (approvals, safety meetings, plans, logs, incident reporting workflow adherence, training documentation where applicable).

Track safety-related corrective actions with PMs/EPCs and ensure documentation is current and stored in Procore and reportable.

Support portfolio reporting (leading/lagging indicators) and follow-up discipline.
Contractor/EPC onboarding and integration

Ensure compliance deliverables and expectations are clear at onboarding and embedded into project execution.

Support Preconstruction/Legal by maintaining compliance templates, checklists, and exhibit language inputs (as directed) to drive consistency across EPCs and vendors.

Coordinate with PMs to ensure EPCs/subs provide compliance deliverables on time and in the required format and are archived in case of OSHA audit.
Reporting & external stakeholder readiness

Produce and publish compliance status reporting for Delivery leadership and cross-functional stakeholders.

Assemble “IE-ready” compliance packages for Owner’s Engineer / Independent Engineer, lenders/investors, auditors, and consultants as required.

Support milestone readiness reviews (NTP, Mobilization, MC, SC, FC) with checklist-based evidence confirmation and gap closeout.

Prepare full reports monthly for external stakeholders and weekly for internal stakeholders.
Decision authority

Enforce compliance document control standards (where evidence lives, naming, completeness checks).

Request missing artifacts, set follow-up deadlines, and escalate when owners miss commitments.

Recommend “not ready” for compliance gates when critical evidence is missing (final decisions sit with leadership).
REQUIRED COMPETENCIES

Minimum 3-5+ years in project coordination, compliance coordination, document control, or project controls in construction/energy/infrastructure.

Demonstrated experience working in Procore (document management and at least two of: Action Plans, Submittals, Closeout, RFIs).

Highly organized with strong attention to detail; able to manage multiple priorities, deadlines, and evidence requirements across a portfolio.

Proven ability to work cross-functionally with multiple internal departments and external vendors/contractors to support the compliance program, drive follow-through, and close gaps.

Knowledge of and exposure to IRA compliance: PWA, Domestic Content, FEOC and/or contractor safety documentation.

Experience supporting OE/IE and lender/investor documentation packages and milestone readiness (SC/FC).

Familiarity with audit-style evidence standards and stakeholder reporting.

Detail-oriented, consistent, and calm under pressure. Proactive follow-through. Build simple systems that operators and contractors will actually use.

$90,000 - $125,000 a year
COMPENSATION & BENEFITS
The estimated base salary range for this position is $90,000-$125,000 depending on relevant experience,
along with eligibility for the company’s substantial bonus plan, with a target bonus of 30% of annual salary
(prorated in first year based on start date).
