Summary
The Route Operations Administrative Assistant performs a variety of administrative tasks to support the Director of Route Operations in administration of the Route Ops office.
Schedule and Additional Details
- This is a Monday - Friday position during regular business hours
- This is a temporary opportunity with an estimated duration of three to six months.
Primary Duties & Responsibilities
- Provide information and assistance to the Director and Fleet Manager
- Ensure accurate and timely preparation and distribution of departmental paperwork
- Work effectively with department leadership to meet department objectives and responsibilities
- Prepares departmental reports as needed
- Manages department supply inventory
- Schedules and coordinates meetings, interviews, events, and other activities
- Assembles new hire onboarding packets
- Creates and maintain filing systems for department
- Receives and sends messages to and from drivers, assists with questions they have, advises of special stops etc.
- Checks drafts and load sheets for accuracy and separate for production and data processing.
- Orders and issues Route Operations uniforms.
- Assists Driver Supervisor with time data in ADP.
- Prepares route drafts for drivers.
- Tracks and maintains tractor mileage using trip tickets.
- Maintains safety incentive programs
- Assists with overflow work as needed
- Other duties as assigned
Education/Experience
- 1-year experience with general office and administrative functions
Requirements – Skills, Job Knowledge & Abilities
- Knowledge of generally accepted office practices and procedures.
- Experience in organizing and maintaining business data files.
- Ability to follow general instructions and understand directions for completing assigned projects.
- Proficiency and professional knowledge of Microsoft Office Suite including Word, Excel, and Outlook
- Strong verbal and written communication skills; ability to communicate effectively at all levels with both internal and external partners
- A current driver's license and acceptable driving history is required
Supervisory Responsibility
Travel
- Local travel to assist Fleet Manager or staff
Working Conditions/Physical Requirements
- Frequently work in a professional office using standard office equipment.
- Perform work in an indoor professional office environment.
- Exposure to warehouse setting with equipment and loud noises.
- Use standard office equipment and supplies.
- Sit/stand for continuous periods of time at a desk and work on a computer, walk as needed.
- Use arms, wrists, hands and fingers to reach, grasp objects, use tools, and for writing and keyboarding.
- Read, write, and speak to communicate effectively with others.
- Listen to interpret comments and instructions received.
- Visual abilities to be able to read printed documents and computer screens.
- Sit in a vehicle for extended periods when traveling between job sites.
- Lift, carry and push/pull to move office products and supplies up to 20 pounds.
