Position Summary
The Executive Administrative Assistant provides high-level administrative support to the Chief Information Officer (CIO) and Chief Operating Officer/Chief Financial Officer (COO/CFO). This role requires exceptional organizational skills, professional discretion, strong communication abilities, and the capability to manage complex schedules and priorities. The individual will serve as a key partner to both executives, enabling effective leadership and operational efficiency across the organization.

Executive Support
- Manage complex calendars for the CIO and COO/CFO, including scheduling meetings, coordinating availability, and resolving scheduling conflicts.
- Handle travel arrangements, itineraries, and logistics for domestic and international travel.
- Prepare, review, and edit presentations, reports, correspondence, and briefing materials.
- Coordinate and support executive leadership meetings, including agenda creation, note-taking, and action-item follow-up.
- Serve as the primary point of contact between the executives and internal/external stakeholders.
Operational & Administrative Management
- Maintain confidentiality and handle sensitive information with the highest degree of professionalism.
- Assist with budget tracking, invoice processing, and expense reporting for both executives.
- Support coordination between IT, Finance, Procurement, Administration, Quality, Compliance and other cross-functional teams.
- Monitor incoming communications and prioritize items requiring executive attention.
Office & Communication Coordination
- Ensure timely and accurate communication between leadership and broader organization.
- Draft professional emails, announcements, and internal communications as needed.
- Support execution of company events, leadership offsites, and team meetings.
- Build strong working relationships across all levels of the company to facilitate effective collaboration.
Location & Travel Expectations:
- This role may be based out of the Scout Motors corporate headquarters in Charlotte, NC. This role may be remote to start but will transition to an in-office setting at the headquarters within 3-6 months of start date. This role is not eligible for remote work in New York City.
- This role requires 4-5 days per week in the office, with regular in-person meetings and events.
- Applicants should expect that the role will require the ability to convene with Scout colleagues in person and travel to participate in events on behalf of the company from time to time

- 10+ years of experience supporting senior executives, C-Suite support is required.
- Proven experience in a fast-paced, high-demand environment handling shifting priorities.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint).
- Ability to exercise sound judgment, maintain confidentiality, and operate with integrity.
- Project coordination or project management experience.
- Bachelor's degree or equivalent work experience.
- Minimum of High School Diploma, GED or equivalent required for all roles at Scout Motors, Inc.
- Valid driver's license required.

Pay Transparency
This is a full-time, non-exempt position eligible to receive an hourly pay rate and to participate in an annual performance bonus program. Final hourly pay rate offered will be determined based on factors including but not limited to the candidate's skills and experience. The annual performance bonus program is preset and not candidate dependent.
Initial base salary range = $80,000.00 - $97,500.00
