Position Title: Producer

Status: Full-time, 10-month Contract, March-December 2026
Salary: $60,000- 65,000 annually (pro-rated for partial years)

Position Summary
Reporting to the Production Manager, the Producer will provide production support to Programming, Planning and Design, and the Third-Party Events teams for projects and events located both on-site at The Bentway operated spaces (Phase 1 Site at 250 Fort York Blvd and The Bentway Studio at 55 Fort York Blvd), as well as “off-site” in locations operated by various partners. The Producer will play an important role in building strong communications and relationships with local and international artists, fabricators and suppliers, technical partners, partner organizations, and stakeholders. This role is best suited for applicants with experience in art project management, planning and installing large scale art, and executing events. It is not a video, media, or content production role.
This is a hybrid role with 2 days in office and 3 days work from home. Additional days in office/on-site may be required.

Responsibilities
Project Development
- Oversee the entire lifecycle of projects, from the initial proposal to the installation and ultimately the strike and sustainable afterlife of project materials. Ensure the project aligns with the organization's quality standards, vision, and budget.
- Assess projects to determine and procure all relevant project materials, suppliers, and crew.
- Coordinate recurring meetings with artists, designers, fabricators, and engineers to develop the design and artistic intent of the project, ensuring safety and feasibility.
- Liaise with fabricators, engineers, technicians and production suppliers to determine technical needs / costs for proposed and confirmed programming.
- Using templates provided, issue and collect supplier contracts.
- Conduct prototyping exercises to test and refine installation methods, learn how the project interacts with its environment, provide samples to the artist for approvals, and ensure the overall success of the project.
- Collaborate with relevant departments to develop run of shows, load-in/out schedules, budgets, submit purchase orders and invoices, and track and reconcile expenses.
- Secure any necessary permits, permissions, and stamped engineering drawings when required.
- Create drawings and 3D models of projects as a means of working through the design process.
- Review shop drawings to ensure accuracy and fidelity with the artist and/or designer’s intent.
- Liaise with partners to support local off-site projects, including supporting the development of site agreements and maintenance and operations plans.
- Develop and maintain the critical paths of multiple projects and production schedules to ensure projects are completed on time and on budget, through coordination with various departments, project partners, and external stakeholders.
- Assess the risks and develop mitigation strategies to address them for the whole lifecycle of projects, including the development of safe workplans for safe install and strike, inspection and maintenance procedures, etc.
- Develop operation manuals and troubleshooting documents for projects as needed.
Project Execution
- Oversee the installation of assigned projects, ensuring The Bentway's health and safety protocols are being observed and that all crews have the equipment needed to execute projects safely.
- Arrange for appropriate staffing to support The Bentway’s in-house programs, ensuring volunteer and/or staffing calls are sent out in advance so that staff can be booked with at least two weeks' notice.
- Provide onsite supervision and direction to event staff as needed.
- Develop run of show documents for event-based programs and serve as stage manager during events to ensure the run of show is followed.
- Provide onsite supervision for third-party event rentals from load-in to load-out, including liaising with third-party event leads and associated staff (security, technical crews (audio, lighting, staging, video), food & beverage vendors etc.)
- Assist in the creation and implementation of standardized operational procedures, staffing plans, schedules, risk assessments, and management plans. Ascertain and book technical and logistical requirements.
- Work with The Bentway’s Facilities team to ensure projects are being cared for throughout their lifespan. Create maintenance guides for artworks and conduct regular check-ins in collaboration with the Facilities team to ensure all artworks are performing as intended.
- Contribute to The Bentway’s Health and Safety program including conducting risk assessments.
- Provide administrative support to the Production Manager when required.
- Additional duties as required.
Qualifications
- Minimum 3-5 years of producing experience, and a track record of working across public art, performing arts, and beyond.
- Experience managing the development, production, installation and strike of artistic projects across a wide range of art forms and media.
- Demonstrated skills in planning, budgeting, scheduling, and executing projects.
- Extremely organized with the ability to plan, implement, and prioritize between multiple projects, with efficiency and attention to detail.
- Flexible and open to change. Demonstrated ability to implement and adapt to new systems.
- Strong skills in the Microsoft Office suite, Excel, Word, PowerPoint) and a facility in learning new programs and systems.
- Ability to work with 3D modelling and drafting software.
- Familiarity with Adobe Suite is preferred.
- Excellent and diplomatic communicator experienced in working with a diverse group of stakeholders (artists, technicians, fabricators, vendors, contractors, crew, junior and senior staff).
- Strong attention to detail and high level of thoroughness.
- Ability to work select nights/weekends and holidays as assigned.
- Ability to work outside in varying and extreme weather conditions.
- Familiarity with current health and safety requirements.
- Current standard level First Aid/CPR-C, Working at Heights, Forklift and MEWP certifications preferred.
