Position Summary
We are seeking a detail-oriented and collaborative individual to join our growing organization. Working across teams, the Executive Assistant will maximize organizational impact by optimizing the executive team’s time and focus. Responsibilities will include managing calendars, coordinating travel and expenses, and facilitating a strategic approach to tactical administrative activities. This role requires strong coordination with the leadership team and external stakeholders to put the right people in the right place at the right time with the right information to advance AFC’s mission.

Reporting to our Chief of Staff, this is a full-time, hybrid position based in Washington, D.C.
Responsibilities
- Bring a strategic lens to manage the calendars of the Executive Director and key leadership team, including internal and external meeting scheduling, to maximize the impact of leadership time.
- Provide administrative support across the leadership team, including supporting expense processing and working with AFC’s travel agent to book and manage work travel.
- Provide day-to-day executive support, such as prioritized tracking and coordination of internal document reviews and external emails.
- Draft, edit, and proofread correspondence, reports, presentations and other written materials.
- Maintain organized electronic and physical filing systems following appropriate document retention and confidentiality.
- Assist with the planning and execution of Executive Advisory Board meetings, in-office events, and AFC external events as requested.
- Collaborate with the Operations team to improve administrative workflows and implement process improvements.
- Other duties as assigned.
Qualifications
- At least 6 years of experience supporting administrative functions of an organization required, with specific responsibility for calendar management of an executive-level individual.
- Experience in a senior-facing role at a small- to medium-sized nonprofit organization, startup, or similar, fast-paced environment strongly preferred.
- Strong proficiency with Google Workspace (including Gmail, Calendar, and Drive) and Zoom required.
- Exceptional organizational and planning skills with demonstrated abilities to navigate ambiguity, triage and execute competing tasks and priorities, and practice discretion and sound judgment.
- Outstanding written and verbal communication skills, and a track record of communicating with a variety of audiences, ideally Board members and donors.
- A track record of quickly learning new systems and software platforms required.
- Familiarity with expense reporting systems preferred.
- Interest in learning about adaptation and resilience.
- Bachelor’s degree or an additional 3 years of progressively responsible, relevant, professional-level work experience.
