The Environmental & Compliance Administrative Assistantwill assist the Product Compliance Engineer in ensuring compliance with environmental and quality standards through administrative support. This role focuses on maintaining accurate environmental data related to materials, substances, and product components, and facilitating supplier compliance with environmental reporting requirements. The Environmental & Compliance Administrative Assistant will collaborate closely with the Product Compliance Engineer, Quality Technicians and suppliers to ensure that environmental data is properly submitted, reviewed, and maintained in compliance with ISO 14001, customer requirements, and other relevant standards.
Essential Functions as Environmental & Compliance Administrative Assistant:
- Maintain detailed records of materials and substances used in individual products to ensure environmental compliance.
- Communicate environmental data requirements to suppliers, including raw material and component data needed for regulatory and environmental reporting.
- Support suppliers in understanding submission guidelines, ensuring data meets regulatory standards such as environmental impact and sustainability metrics.
- Review and validate data submissions from suppliers for accuracy and completeness, ensuring compliance with environmental and regulatory standards.
- Enter environmental and product data into designated online databases and local spreadsheets with precision and attention to detail.
- Issue written and verbal reminders to suppliers when environmental data submissions are delayed or incomplete, ensuring timely compliance with reporting deadlines. Other duties as assigned.
Required Education and/or Experience:
- High school diploma or equivalent required
- High attention to detail and strong organizational skills, particularly in maintaining environmentally compliance records.
- Ability to work independently and follow environmental compliance protocols closely.
- Previous experience in data entry or administrative roles related to environmental compliance, manufacturing, or quality assurance is preferred.
- Familiarity with ISO 14001 environmental management standards and ISO 9001/IATF quality standards is a plus.
Availability Requirements:
Due to the nature and scope of the essential functions of this position, the importance of personal interactions with coworkers, and the availability of job-related tools, equipment and resources at work, performance of the essential functions requires regular, consistent availability, accessibility, and presence on-site.
Approximately 40 hours/week may be required to efficiently perform the job duties of this position, including presence at designated meetings. Overtime may be scheduled and required to meet departmental needs.

Ability to present information in a manner designed to educate or inform other team members and customers in one-on-one or group interactions as directed.
- Ability to review, comprehend, interpret, process and evaluate written work instructions, documents and procedures written in English. Ability to utilize drawings and specifications in conjunction with the performance of the essential functions and other assigned job duties.
- Familiarity with chemical names, identification numbers, and descriptions, particularly in the context of Safety Data Sheets (SDS) and environmental compliance documents.
- Strong interpersonal and conflict resolution skills including ability to work efficiently in a fast-paced work environment while maintaining a calm, rational and respectful demeanor and communication style in times of stress occasioned by work demands, tight timelines, heavy production expectations, unexpected quality control issues, and other work-related issues or concerns that may cause a heightened level of anxiety, frustration, anger, disappointment, confusion, etc.

Environment/Atmospheric Conditions:
The work environment conditions described here are representative of those an employee encounters while performing the essential functions of this position. This position’s job duties are performed both in a shop/ warehouse type environment and in an office environment. Team members in this position may be exposed to loud noises from operating machinery, cold/hot temperatures, chemicals and vapors, and possibly injury associated with work involving manufactured parts, assembly and heavy machinery. Office environment exposure may include traditional office lighting and office furniture, as well as consistent and frequent noise, interruptions and other similar distractions.
