JOB PURPOSE:
The Marketing Events Coordinator assists in planning, organizing and executing a wide range of virtual and in-person customer-facing Marketing events in line with the Marketing strategy including but not limited to trade shows, conference, local branch events, and webinars. This role will involve managing event logistics, on-site event coordination, collaboration with stakeholders assisting each event to run smoothly through event planning, execution, and post-event. The person in this role is expected to be enthusiastic and detail-oriented to elevate our brand and engage our audience.
This role is expected to partner with other departments for event coordination including but not limited to Sales, Business Development, and Product Management. The Marketing Events Coordinator reports to the Manager, Marketing.

- The total compensation range for this position is $60k - $65k. Actual compensation on this range varies based on a variety of non-discriminatory factors, including location, job level, prior experience, and skill set.

PRIMARY DUTIES AND RESPONSIBILITIES:
Event Coordination: 70%
- Responsible for traveling to customer-facing events and professionally representing BayWa r.e. as on-site event coordinator working closely with sales and branch employees.
- Assists in the planning and execution of various customer-facing events including but not limited to trade shows, conferences, branch events, and webinars.
- Coordinates on-site event needs including but not limited to event set-up, check-in, take down, catering, swag, collateral, and equipment needs.
- Mitigates and resolves unforeseen on-site event problems and/or risks.
- Assists in maintaining a calendar of events and collaborates with the marketing team to align the events calendar with marketing campaigns.
- Responsible for tracking expenses and ensuring adherence to financial guidelines.
- Partners with the marketing team on event communications and graphics for both internal and external stakeholders including but not limited to event campaign promotions, event landing pages, social media, and internal tools for Sales team.
- Supports post-event evaluation by collecting feedback and event performance metrics.
- Assists in event lead management and ensures leads enter the lead funnel appropriately.
- Supports marketing team and Sales to develop, implement, and manage the event lead-management system.
- Assists in shipping collateral, equipment and any event needs to event location.
Swag: 20%
- Supports sales teams with business cards, printed material, and company swag for events and customer visits
- Collaborates with Marketing team for customer swag needs throughout the year.
- Finds creative ways to distribute swag and gifts.
- Assists in coordination of production of event collateral (banners, table clothes, etc.).
Sales Enablement: 10%
- Supports the team in day-to-day activities.
- Assists with ad hoc team projects.
- Supports BayWa culture by taking time to complete activities for growth, training and stretch projects.
- Collaborates with regional teams to support sales to attend events BayWa r.e. is not exhibiting.
- Supports sales teams with business cards, printed material, and company swag.
All other duties as assigned.
REQUIRED SKILLS and ABILITIES:
- An understanding of event marketing coordination, operations, and executing best-in-class events.
- Understanding and knowledge of KPIs and marketing techniques for event management.
- Strong organizational skills with the ability to manage multiple projects and deadlines.
- Excellent communication and interpersonal skills, with a customer-focused mindset.
- Proficiency in event management software and tools (e.g., Eventbrite, Cvent) and Microsoft Office Suite.
- Creative problem-solver with attention to detail and a proactive approach to challenges.
- Ability to work flexible hours, including evenings and weekends, as required for events.
- Highly organized and results-oriented with a strong dedication to accuracy and follow-through.
- Curious and creative thinker with a solutions-oriented, problem-solver mentality.
- Ability to plan, manage and execute multiple projects, while communicating with key stakeholders simultaneously.

EDUCATION and/or EXPERIENCE REQUIREMENTS:
- Minimum of 3 years' experience in event coordination, B2B experience a plus
- Experience in the tradeshow industry and managing large scale events including planning, execution, and reporting; trade show experience a plus
- Preferred experience with virtual event management platforms
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is:
- Regularly required to sit, talk, use repetitive motion, type, and hear.
- Frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.
- Occasionally required to bend, kneel, crouch, climb stairs, and reach overhead.
- Prolonged periods of sitting at a desk and working on a computer.

- Willing to travel up to 60% of the time.
