About the Job:
The Planning and Environmental department is looking for a skilled and knowledgeable Administrative Assistant II with a strong attention to detail to provide excellent administrative support.
The ideal candidate will have strong organizational and multitasking skills with a proven ability to work with diverse groups. They will have a keen eye for detail and will have a solid understanding of processing contractual requests.
What You’ll Do:
- Collaborate with cross-functional teams to manage the processing of invoices, ensuring compliance with contract provisions and budgets through thorough accounts reconciliation.
- Assist in the planning and execution of project lifecycles, including the development of scopes of work, cost estimates, bid packages, project schedules, and closeout processes.
- Proofread and check all materials, reports, and documents for accuracy, completeness, and adherence to organizational standards and policies.
- Track and process all incoming and outgoing project documents, including submittals, requests for information, and change orders; ensure timely routing and signature.
- Manage departmental records systematically, organizing, storing, and retrieving physical and digital documents in compliance with policy.
- Prepare technical reports, memoranda, and correspondence; develop materials for meetings and act as a liaison with consultants, contractors, and outside agencies to ensure compliance with construction standards.
- Coordinate meetings, prepare meeting announcements and take detailed notes for distribution, and other duties as assigned.

RequirementsThe Experience You Need to Have**:
· Graduation from high school or G.E.D. equivalent.
· Four years of increasingly responsible office administrative or secretarial experience.
· Or an equivalent combination of training and experience.
· Maintain a valid driver’s license and the ability to maintain insurability under the Authority’s vehicle insurance policy.
Preferred Education, Certification, and Licenses:
· Bachelor degree in business administration, organizational development, or a closely related field.
· Microsoft 365 Certified, Project Management Professional (PMP), Certified Associate in Project Management (CAPM)
