Job Summary:
We are seeking a detail-oriented Fleet Management Software Coordinator to maintain our fleet management software. This role will support regional teams with administrative fleet operations, including maintenance planning, data entry, documentation, fuel program oversight, compliance, and issue tracking. The ideal candidate will generate reports, regularly review and optimize maintenance processes, and ensure accurate tracking of data to enhance fleet efficiency and compliance.
Key Responsibilities:
- Fleet Management Software
- Maintain the fleet management software, ensuring its optimal performance and alignment with operational needs.
- Troubleshoot and resolve software issues in collaboration with IT support.
- Administrative Fleet Operations
- Assist regional teams with maintenance planning and scheduling to ensure timely vehicle servicing.
- Conduct data entry tasks to maintain accurate records related to maintenance, fuel usage, and other fleet metrics.
- Maintain documentation processes, ensuring all necessary records are complete and properly filed.
- Fuel Program Oversight
- Support the administration of the fuel program, monitoring fuel usage and expenses while ensuring compliance with company policies.
- Compliance and Issue Tracking
- Monitor and report on compliance with regulatory requirements and internal policies pertaining to fleet operations.
- Track and document maintenance issues, providing timely updates and resolutions.
- Reporting and Data Analysis
- Generate regular and ad-hoc reports on fleet performance, maintenance activities, and compliance metrics for management review.
- Analyze data trends to identify opportunities for improvement within fleet operations.
- Process Optimization
- Regularly review and evaluate maintenance processes, recommending enhancements to improve operational efficiency and effectiveness.
- Collaborate with regional teams to implement best practices and ensure continuous improvement in fleet management.
Qualifications:
- Minimum High School Diploma or equivalent (GED) required.
- Ability to learn maintenance and compliance tracking systems.
- Basic understanding of heavy trucks, trailers, equipment, and rebuilding equipment.
- Valid, clean driver’s license.
- Must have computer skills and experience with Word & Excel.
