Job Summary
The Office Manager is responsible for helping to maintain the day-to-day operation and administrative duties associated with operation of the scale(s) and office assistant functions. This position requires a detail-oriented person able to maintain focus in a high-tempo, fast paced environment. This position will answer the telephone and provides general information to callers. The Office Manager must maintain cleanliness of the respective weight station site and perform other job-related duties as assigned.
Role & Responsibilities
· Working knowledge of including but not limited to: customer service request scheduling, filing, accounts payable, accounts receivable, all systems, etc. while being able to act as backup as needed.
· Collect and maintain all customer PO’s, utilize to verify pricing on all invoices.
· Daily transaction review and oversight.
· Demonstrates initiative and planning; capable of anticipating a manager's needs and staying "two steps ahead".
· Ability to create and update complex Excel spreadsheets.
· Professional appearance and calm demeanor; capable of consistently maintaining a high level of composure, confidentiality and job focus.
· Addresses miscellaneous tasks as requested or designated by other office leaders.
· Manage all office staff to ensure balance of duties, completion of tasks and related items.
· Offer suggestions to upper management for improvements.
· Provide prompt and courteous service to our drivers.
· Enter load information and customer/truck information into computer and operate computerized truck scale to determine weight of loads.
· Operates computer to process proper charges to be assigned for each load, and generate charge tickets on the printer.
· Accurately perform routine data entry into a computer, make accurate basic mathematical calculations and accurately post and keep legible records.
· File weight tickets for each load and maintain records of all incoming/outgoing loads that cross the scales.
· Checks the information on the driver's paperwork to the information printed on the weight certificate to be certain that the information for all loads is accurate.
· Complete daily scale/receipt reports, maintain logs, spreadsheets and other reports, as assigned.
· Assist in maintaining facility site security and access control.
Job Requirements:
· 3-5 years in Office setting, supervising others.
· Excellent management and leadership skills.
· Bachelor’s Degree preferred but not required, 3 to 5 years minimum experience in Administrative field directly supporting executive level.
· Excellent organization skills.
· Solid communication, problem solving and written communication skills.
· Proven project management skills, including strong interpersonal, stakeholder management and collaboration skills to support working within cross-functional teams.
· Excellent Microsoft Office knowledge.
· Ability to work onsite 5 days per week.
