Position Summary
The Manager of Meetings & Events joins SEIA at a time when our education and event offerings, both in- person and virtual, are growing. Reporting to the Director of Meetings & Events, the Manager will be responsible for SEIA’s webinar and virtual event portfolio, and provide critical support in the creation and execution of SEIA Premiere meetings and events, RE+, regional meetings and events and Board of Directors meetings, events and activities. This position will be required to coordinate across various departments of the Association to develop, plan, oversee and execute events from several dozen people to several hundred people.
Core Duties & Responsibilities
- Provide administrative, organizational, and logistical support for all SEIA-related meetings, events, and activities, including but not limited to travel schedules, hotel communications, procuring and coordinating supplies, printing and preparing name badges, agendas, and packing. Work directly with vendors and venues to coordinate internal staff travel and activities, SEIA’s Premiere meetings and events, the RE+ conference portfolio, regional meetings and events, and Board of Directors meetings, events, and activities.
- Manage logistics and execution for all SEIA activities associated with RE+ events and meetings, acting as the direct liaison between SEIA, SEPA, and RE+. Plan and execute logistics for staff travel, shipping and materials, SEIA meetings, workshops, receptions, and fundraisers. Coordinate directly with attendees, sponsors, members, partners, venues, and vendors. Manage onsite meeting and event logistics with vendors and provide excellent customer service to attendees. Assist in the planning and execution of networking receptions, dinners, and workshops for SEIA Premiere meetings and events, RE+, regional meetings and events, and Board of Directors meetings, events, and activities as assigned by SEIA’s Senior Director of Meetings and Events.
- Provide on-site support for SEIA Premiere meetings and events, internal staff activities, regional meetings and events, and Board of Directors meetings, events, and activities as requested. Including but not limited to operating SEIA’s registration table and providing excellent customer service to staff, guests, and attendees.
- Oversee logistics and execution for networking activities in the SEIA office and at SEIA Premiere Events, RE+, Regional Events, and Board of Directors activities. Identify venues, vendors, and implementation strategy, coordinating directly with attendees, sponsors, members, partners, venues, and vendors. Manage onsite meeting and event logistics with vendors and provide excellent customer service to attendees.
- Ability to consistently work evenings and weekends as meetings and events are scheduled.
- As necessary, develop internal and stakeholder task forces and advisory councils to develop content, marketing plans, promotion, etc.
- Seek out and identify new meeting and event options, including building relationships and pursuing partnerships with other organizations and events.
- Other projects and duties as assigned.
Professional Experience, Education & Other Qualifications
- Bachelor’s degree required
- 3 – 5 years event management experience
- Strong attention to detail and strong organizational skills
- Time management skills and the ability to work under time pressure in a fast-paced environment
- Customer service mentality with a positive, “can-do” attitude
- Ability to travel to 3 – 5 events per year
- Experience working in MS Word, MS Excel, and event management platforms as well as the ability to quickly learn other programs and platforms
- A team ethos and desire to work across multiple departments to accomplish goals
Working Conditions
- This position is based in headquarters in Washington, DC.
- SEIA employees in the Washington, D.C. region follow a hybrid remote and in-person office model. Employees work 3 days a week in an office environment and as needed when there are special events or meetings but otherwise can be remote
- Travel is required for this role.
Compensation Range
$60,000-$65,000 annually, based on experience and an excellent benefits package.
