**Position: Administrative Executive Assistant Manager**
**Summary:**
We are seeking a highly organized and proactive Administrative Executive Assistant Manager to join our team. The ideal candidate will be responsible for overseeing administrative tasks, managing schedules, and supporting executive-level staff. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
**Responsibilities:**
1. **Administrative Support:**
- Provide administrative support to executive-level staff, including scheduling meetings, managing calendars, and making travel arrangements.
- Prepare and distribute correspondence, memos, reports, and presentations as needed.
- Coordinate logistics for meetings, conferences, and events, including room bookings, catering, and audiovisual setup.
2. **Office Management:**
- Oversee office operations and ensure efficient functioning of administrative systems and procedures.
- Manage office supplies inventory and place orders as necessary.
- Supervise administrative staff and provide guidance and support as needed.
3. **Data Management:**
- Maintain and update company databases and filing systems.
- Assist with the organization and maintenance of digital and physical records.
4. **Communication:**
- Serve as a primary point of contact for internal and external stakeholders, including clients, vendors, and employees.
- Screen and direct phone calls and emails to appropriate parties.
- Draft and edit documents, emails, and other communications as required.
5. **Project Coordination:**
- Assist in the coordination and execution of special projects, initiatives, and events.
- Collaborate with various departments to ensure project deadlines are met and objectives are achieved.
**Requirements:**
- Bachelor's degree in Business Administration, Office Management, or related field preferred.
- Proven experience as an administrative assistant, executive assistant, or office manager.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
- Attention to detail and high level of accuracy in all work.
- Ability to maintain confidentiality and exercise discretion when dealing with sensitive information.
