Role Summary
The Administrative Assistant/Inventory Officer supports the day-to-day administrative and inventory operations of the organization. The role is responsible for maintaining accurate stock records, supporting procurement and store management, preparing operational documents, and providing general office support. The position also involves coordinating customer inquiries, deliveries, meetings, and installation schedules while ensuring that office and inventory records are well organized and up to date.
Key Responsibilities
- Provide administrative support for daily office operations and routine business activities.
- Receive, record, organize, and monitor incoming and outgoing inventory items.
- Maintain accurate stock records for solar panels, batteries, inverters, CCTV cameras, and other technical equipment.
- Monitor inventory levels and promptly report low-stock, damaged, or missing items to management.
- Assist with stock counts, inventory reconciliation, and routine store checks.
- Prepare invoices, delivery notes, stock records, and basic inventory and sales reports.
- Support procurement activities, including tracking orders and coordinating the receipt of purchased items.
- Maintain organized records of office documents, receipts, inventory records, and project-related documentation.
- Respond to phone calls, emails, and customer inquiries professionally and direct technical matters to the appropriate team.
- Assist with scheduling meetings, deliveries, installations, and other operational appointments.
- Coordinate with technical and project teams to ensure equipment is available when required for installations and projects.
- Ensure the office and store are clean, organized, secure, and properly arranged.
- Use inventory or accounting software, where applicable, to maintain accurate records and support reporting.
- Support continuous improvement of inventory and administrative processes.
- Perform other administrative, inventory, and operational duties as assigned.
