The Opportunity
We’re looking for a Sales/Purchasing Support Specialist to join a growing international ingredients and food solutions business.
This is a varied role supporting both sales and purchasing, with responsibility for orders, quotations, suppliers, stock, samples and customer queries. You’ll work closely with sales, purchasing, logistics, quality and finance, helping keep commercial activity running smoothly across an international supply chain.
The role would suit someone with a sales support or procurement background who is commercially aware, highly organised and comfortable managing multiple priorities.
What You’ll Be Doing
- Process and manage customer sales orders and purchase orders accurately.
- Support purchasing across assigned product categories, working with global purchasing teams and suppliers.
- Prepare quotations, tender documents and contract renewal information.
- Support sales teams with quotes, opportunities, leads and sample requests.
- Manage customer queries and coordinate with internal teams to ensure orders are fulfilled effectively.
- Arrange product samples, shipments and quality documentation.
- Monitor customer shipments, stock levels and inventory requirements.
- Maintain accurate CRM records, including opportunities, quotations and account information.
- Work with Finance on new customer setup and credit limit changes.
- Provide pricing and supplier information to support commercial and cost analysis.
- Identify and communicate potential delays, stock issues or customer service concerns.
- Produce reports and provide wider administrative and commercial support.
What We’re Looking For
- Fluent Polish and English are essential – you must be confident communicating professionally with customers, suppliers and colleagues in both languages.
- At least 2 years’ experience in procurement support, sales support, commercial administration or a similar role, ideally within a complex supply chain.
- Strong analytical ability, with confidence working with pricing, supplier quotations and cost information.
- Excellent attention to detail and the ability to manage competing priorities.
- Strong communication and customer service skills, with confidence dealing with both internal and external stakeholders.
- Advanced Excel skills, including PivotTables, formulas and lookups; Power BI experience would be advantageous.
- Familiarity with CRM and/or ERP systems.
- Commercially aware, proactive and comfortable working in a fast-paced international environment.
- Able to remain organised, meet deadlines and make sound decisions when priorities change.
