Summary of Purpose:
The HR Coordinator reports to the manager of HR Services. This person coordinates, oversees, and performs a wide variety of administrative support activities for the HR Services department.
Essential Functions
- Provides administrative support to HR department and team members, such as meeting logistics, filing, mail management, records storage, etc.
- Maintains, updates, and distributes new and exiting employee checklists to applicable employees
- Processes and files I-9 forms and eVerify cases, conducting regular I-9 audits to ensure data accuracy and compliance
- Supports recruiting process by scheduling interviews for all internal and external candidates, preparing interview documentation, maintaining applicant records, collecting interview guides and summary sheets, etc.
- Assists with HRIS related requests by activating and resetting accounts, processing and maintaining qualification cards, processing AWS requests, approving timesheets, assigning delegations, and answering general HRIS-related employee questions
- Keeps file storage accurate and up to date by maintaining and improving current filing system, performing regular audits and correcting any discrepancies
- Responds to routine employee and management HR inquiries and requests and refers escalated issues to appropriate HR team member
- Maintains internal and external SharePoint sites with up-to-date materials to support the HR function with guidance from the appropriate HR team member
- Administers employee surveys as necessary
- Performs other duties as assigned
Knowledge, Skills, and Abilities
- Strong knowledge and proficiency in Microsoft Office 365, including Word, Excel, Outlook, OneNote, PowerPoint, Teams, and SharePoint
- Strong knowledge of scheduling and managing virtual meetings using Zoom, Teams, and other virtual meeting platforms
- Strong verbal and written communication skills to interact professionally with colleagues and external contacts
- Strong organizational, time-management, problem-solving, and decision-making skills
- Prior experience working within an HRIS
- Ability to maintain strong attention to detail (minimal errors) and produce high quality work products
- Ability to effectively learn, use, and manage technology
- Ability to work independently as well as in teams/groups
- Ability to work and maintain confidentiality of highly sensitive/private information
Education, Licenses, and Certifications
- High School Diploma or GED
Preferred
- Bachelor’s degree in a relevant specialty area
Experience
- At least one year of administrative experience supporting an HR function
Preferred
- At least two years of administrative support or HR experience
