Role Overview
The Stock & Packaging Coordinator is responsible for the effective management and control of packaging materials, consumables, and inventory within a fast-paced distribution environment. The role plays a critical part in ensuring stock accuracy, maintaining appropriate inventory levels, supporting operational continuity, and facilitating efficient supplier and stakeholder communication.
The successful candidate will oversee purchasing activities, inventory monitoring, stock reconciliation, and supplier coordination while ensuring compliance with company policies, quality standards, and regulatory requirements. This position requires a proactive and detail-oriented individual with strong analytical, organisational, and communication skills.
Key Responsibilities
Inventory and Stock Management
- Maintain accurate inventory records for packaging materials, consumables, and related stock items.
- Monitor stock levels against operational requirements and demand forecasts to ensure product availability.
- Conduct regular stock reviews and support periodic stocktake activities.
- Investigate and resolve inventory discrepancies, ensuring corrective actions are implemented where necessary.
- Identify, monitor, and communicate risks relating to short-dated, excess, or at-risk stock.
Purchasing and Supplier Management
- Raise and manage purchase orders in line with forecasted demand and business requirements.
- Build and maintain effective working relationships with suppliers to ensure continuity of supply and service performance.
- Coordinate supplier communications relating to deliveries, stock availability, shortages, and quality concerns.
- Verify supplier invoices and support the timely resolution of invoice queries.
Goods Receipt and Compliance
- Coordinate the receipt and recording of incoming deliveries, ensuring accuracy against purchase orders and delivery documentation.
- Investigate and communicate any discrepancies, shortages, quality issues, or non-conformances.
- Support the completion and administration of import, customs, and regulatory documentation where applicable.
- Ensure packaging compliance obligations are maintained in accordance with environmental and legislative requirements.
Cross-Functional Collaboration
- Work closely with Operations, Warehouse, Production, Technical, Procurement, and Finance teams to support business objectives.
- Provide stock-related information and reporting to internal stakeholders as required.
- Support new product development initiatives through the coordination of packaging samples and related materials.
- Assist with administrative and data management activities, including invoicing and system updates.
Compliance and Continuous Improvement
- Adhere to all company policies, procedures, and regulatory requirements, including Health & Safety, Food Safety, and Quality Management standards.
- Contribute to the continuous improvement of inventory control, purchasing processes, and operational efficiency.
- Promote best practice in stock management and inventory accuracy throughout the business.
Knowledge, Skills and Experience
Essential
- Previous experience within stock control, inventory management, purchasing, logistics, or supply chain operations.
- Strong numerical and analytical skills with excellent attention to detail.
- Proficient in Microsoft Excel, including data analysis and reporting functions.
- Strong organisational skills with the ability to manage multiple priorities effectively.
- Excellent communication and stakeholder management skills.
- Competent IT user with experience of ERP, inventory management, or business systems.
Desirable
- Experience within FMCG, food manufacturing, distribution, or warehousing environments.
- Knowledge of stock control methodologies and inventory management principles.
- Experience with purchasing and supplier management processes.
- Familiarity with customs, import/export, or regulatory compliance documentation.
- Experience using ERP systems such as Microsoft Dynamics or equivalent.
