Marketing & Events Intern (Part-time, Remote)

Position Summary
The Marketing and Events Intern (part-time, 16-week contract) supports the planning, coordination, and delivery of virtual, hybrid, and in-person events that catalyze a more sustainable future, including the internationally recognized Foresight 50 Showcase held in November in Vancouver. Working closely with the Events team, the intern will gain hands-on experience in event planning, stakeholder communications, industry-standard event platforms, cross-functional marketing, and event execution. This role provides an opportunity to develop project coordination, organizational, communication, and professional interpersonal skills while contributing to the successful delivery of high-profile cleantech events.
Key Responsibilities
Event Planning & Coordination
Support the planning and execution of events, workshops, conferences, and stakeholder engagement activities, both virtual and in-person.
Research and source vendors, including catering, printing, venues, and other event service providers.
Assist with collecting vendor quotes, tracking contracts, and coordinating event logistics.
Facilitate payment schedules, processing and coordination with internal finance teams
Schedule and coordinate event planning meetings.
Take meeting notes, track action items, and assist with project management activities.
Help prepare agendas, presentations, briefing materials, event scripts, and run-of-show documents.
Event Technology & Registration
Assist with building, maintaining, and updating event registration systems and event management platforms, including Zoom, Hubspot, and Whova.
Support software testing and event technology setup.
Help troubleshoot registration and event platform issues under the guidance of the Events team.
Maintain attendee registration records and databases.
Support with updates to events landing pages through foresightcac.com
Assist with project management tracking in Wrike
Communications & Marketing Support
Coordinate attendee communications, including registration confirmations, event reminders, updates, and post-event follow-up.
Assist with marketing and promotional activities to increase event awareness and participation.
Support the creation and production of event materials, including name tags, signage, presentations, and printed collateral.
Event Delivery
Assist with event setup, attendee registration management ande support, and event execution.
Support with vendor coordination before, during, and after the event
Support speakers, presenters, sponsors, and participating organizations throughout the event lifecycle.
Assist with audio-visual coordination and basic technical support during events.
Provide general operational support to ensure a positive event experience for attendees, speakers, and sponsors.
Reporting & Administrative Support
Collect and organize event feedback, participation data, and post-event reporting information.
Maintain event documentation and records.
Support other event-related, marketing, and administrative projects as assigned.
Qualifications
Education
Currently enrolled in or recently graduated from a post-secondary program in Event Management, Marketing, Communications, Business Administration, Hospitality, or a related field.
Skills & Competencies
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Confidently represent the organization at in-person events, serving as a welcoming and professional first point of contact for attendees, partners, and stakeholders.
Comfortable learning and using new technology and software platforms, including Wrike (project management software), Hubspot (CRM), Canva Pro, Whova, Slack, and Google Suite.
Ability to manage multiple tasks and meet deadlines.
Strong problem-solving skills and willingness to learn.
Ability to work both independently and collaboratively in a team environment.
Positive attitude and initiative.
Job Type: Part-time (Remote). This is a 16-week contract.
Rate: 20 hours a week, $22.70/hour
