The Indianapolis Zoo is seeking a dedicated Human Resources Administrative Assistant to provide essential HR operational, administrative and confidential support across payroll, benefits, employee relations, and HR programs that support our mission to protect nature and inspire people to care for our world.
About the Role
The Human Resources Administrative Assistant plays a key role in supporting the daily operations of the Human Resources Department. This position partners closely with HR leadership and staff to ensure employee records are maintained accurately, HR processes run efficiently, and departmental initiatives and events are executed successfully. This is a part-time regular position (20-25 hours per week), typically Monday through Friday, with occasional evening or weekend hours during peak periods.
Key Responsibilities
- Assist with preparation, coordination, and maintenance of consulting agreements and vendor contracts.
- Maintain accurate employee personnel files, including payroll documentation, training records, acknowledgements, performance reviews, disciplinary documentation, and termination records.
- Support onboarding and seasonal hiring processes, including orientations and new hire documentation.
- Provide administrative support for HR-led events and initiatives.
- Maintain strict confidentiality of sensitive employee, legal, and organizational information.
- Support general HR office operations, including shared space organization and administrative tasks.
What We're Looking For
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Prior experience in an administrative, HR, payroll, or office support role strongly preferred.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Strong customer service mindset and ability to work with staff, volunteers and leadership.
- Ability to support public speaking, training sessions and HR presentations.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with payroll/HRIS systems (ADP Workforce Now preferred) highly desired.
