Job Description – Service Dispatch Coordinator
The Service Coordinator is responsible for taking incoming customer calls and creating Service Repot tickets for each service while keeping the process organized and customer files updated in our database.
Essential Duties and Responsibilities
- Receive service calls, dispatch appropriate technician and update dispatch board.
- Create work order number for each job.
- Coordinate with Project Managers on job startups and supply technician with appropriate instructional documentation.
- Facilitate rental equipment as necessary through purchasing department.
- Obtain billing information from new customers and give required forms to Contract Billing Administrator for entry into system.
- Enter job data into database from processed time sheets or service reports.
- Alert after hours phone service which technician is on call for the evening.
- Assist accounts receivable with collections on past due amounts.
- Backup for service department phone lines.
- Assist with scheduling of service with other vendors to complete jobs.
- Administrative tasks such as creating quotes and necessary research to assist Service Leads and Ops Manager / Service Leads
Qualifications & Required Skills
- High school diploma or GED
- Minimum of 3 years of experience in dispatch
- Ability to think critically
- Excellent analytical skills and attention to detail
- Proficient in MS Office to include Outlook, EXCEL and Word
- Proficient with web-based systems
- Excellent verbal and written communication skills
- Positive and friendly demeanor.
Physical Requirements
- Sit for long periods of time during a regular workday.
- Long hours on keyboard.
- Use hands and arms to reach for, handle and manipulate objects.
- Able to bend and squat.
