The Finance, Controlling, and Administrative Department of Software AG Polska Sp. z o. o., a leading provider of IT solutions for businesses, is seeking an Administration Specialist for an employment contract (for 1 year contract). This role will support the ongoing projects and activities of the FC&A department within the Polish branch, which oversees operations in Central and Eastern Europe.
Essential Functions:
Reception duties, including representation and attending to visitors.
Maintaining a register of incoming and outgoing documents, including dispatching documents via post or courier.
Collaborating with suppliers to procure goods/services (e.g., business cards, office materials, car registration/deregistration) and obtaining necessary documents (Vendor templates, Code of Conduct), as well as processing internal purchase orders.
Assisting in the relocation of the office to a new location in Warsaw.
Aiding in the digitization of administrative and HR documents.
Utilizing financial and accounting documents effectively.
Gathering all necessary documents from employees (e.g., holiday requests, attendance lists, business trip settlements, cost settlements, etc.).
Updating vendor and customer master data.
Minimum Requirements:
Enrollment in at least the 3rd year of a bachelor's degree program or possession of a bachelor's degree or higher in fields such administration, or management, finance and administration, or related disciplines is preferred.
Strong proficiency in both written and verbal English.
Profound knowledge of MS Office, including advanced skills in Excel and Word.
Excellent organizational and communication skills are essential for this role.
