Position of the job in the organisation: The successful candidate will report directly to the Wheeling Asset Manager.
Principal responsibilities:
Contract Administration and Management:
- Assist in the preparation, review, and administration of contracts and agreements.
- Maintain accurate and organized records of all contract-related documents.
- Monitor contract compliance and deadlines, ensuring all terms and conditions are met.
- Coordinate with legal and compliance teams to address any contract-related issues or discrepancies.
Customer Relationship Support:
- Act as a liaison between the Wheeling Asset Manager and customers, handling routine inquiries and communications.
- Assist in scheduling and organising customer meetings, site visits, and follow-up activities.
- Responsible for preparing meeting minutes and distributing it, tracking the completion of action items, and updating progress reports
- Maintain a customer database, ensuring all contact information and interaction records are up to date.
- Prepare and distribute customer correspondence, including newsletters, updates, and reports.
Cross-Functional Team Coordination:
- Support the coordination of cross-functional team activities, ensuring seamless collaboration between departments.
- Assist in organising and scheduling team meetings, preparing agendas, and taking meeting minutes.
- Track the progress of various projects and initiatives, providing regular updates to the Wheeling Asset Manager.
- Help facilitate communication and information flow between different teams to ensure alignment on goals and objectives.
Financial and Performance Reporting:
- Assist in the preparation of financial reports, performance metrics, and other analytical documents.
- Compile and organise data for asset performance reports, ensuring accuracy and timeliness.
- Help maintain financial records and documentation, including invoices, expense reports, and budget tracking.
- Provide support in preparing presentations and reports for senior management and stakeholders.
Administrative and Operational Support:
- Manage the Wheeling Asset Manager’s calendar, scheduling appointments, meetings, and travel arrangements. If needed.
- Handle general administrative tasks such as filing, data entry, and office organization.
- Prepare and format documents, reports, and presentations as needed.
- Ensure that all administrative processes and procedures are efficient and adhere to company standards

Experience & Skills
- Administrative Experience:
- At least 2-3 years of experience in an administrative support role, preferably in a commercial or corporate environment.
- Experience in managing schedules, organising meetings, and handling correspondence.
- Industry Knowledge:
- Previous experience or familiarity with the energy sector, especially renewable energy or solar power, is highly desirable.
- Understanding of contract management and customer relationship management.
- Technical Proficiency:
- Proficiency in Microsoft Office Suite (Excel, Word, especially PowerPoint, Outlook).
- Experience with database management and CRM software
- Financial Reporting:
- Experience in supporting the preparation of financial reports and data analysis.

- I will have completed onboarding and gained a solid understanding of company culture, processes, and solar assets.
- I will have built strong working relationships with the Wheeling Asset Manager and key stakeholders.
- I will independently manage core administrative tasks (filing, data entry, coordination).
- I will support contract administration and assist with customer communication and scheduling (meetings and site visits).
By month 6:
- I will confidently manage more complex administrative responsibilities with accuracy.
- I will coordinate cross-functional activities and support effective team collaboration.
- I will organise and run meetings, including agendas and minutes.
- I will contribute to reporting by preparing data and supporting financial and performance reports.
- I will identify and implement process improvements to enhance efficiency.
By month 12:
- I will be a trusted, independent support to the Wheeling Asset Manager and Asset Management team.
- I will lead administrative improvements and strengthen team coordination.
- I will manage contracts and customer relationships proactively and professionally.
- I will contribute to strategic reporting and provide insights to support decision-making.
- I will play a key role in achieving team objectives while embodying company values.
