The primary goal of the role is to ensure the sales team is efficient, productive, and well-supported through strong administration, coordination, and communication.
Position of the job in the organisation: The Sales Support will report directly to the Sales Support Lead.
Principal responsibilities:
Sales Administration & CRM Management
- Provide day-to-day administrative support to the sales team, including managing calls, emails, and multiple diaries.
- Maintain accurate and up-to-date records on HubSpot CRM, ensuring deal stages, pipelines, and data integrity.
- Allocate, manage, and process leads correctly on HubSpot and Unifii.
- Keep HubSpot tidy daily, including removing duplicates and correcting deal stages.
Sales Coordination & Deal Support
- Coordinate sales meetings, inter-department meetings, and partner engagements.
- Act as liaison between customers, sales, engineering, finance, and partners to ensure deal progress remains on track.
- Chair sales and engineering meetings when required.
Proposal, Credit & Documentation Support
- Assist with the preparation of renewable energy proposals using internal systems, MS Word, and Excel.
- Generate cash purchase proposals, final agreements, and edit terms and conditions where required.
- Coordinate credit checks (CIPC, WIndeed, electricity bills) and manage the credit review process.
- Communicate credit and technical approvals and coordinate agreements for signature.
Customer & Partner Communication
- Handle incoming calls professionally and manage customer enquiries.
- Communicate with clients regarding credit review kick-off, documentation, and follow-ups.
- Serve as liaison officer between partners, clients, and SolarAfrica regarding agreement amendments.
Reporting & Handover
- Complete handover documentation for signed deals.
- Coordinate project handover to Engineering and Projects.
- Track project commencement notices and liaise with Finance to ensure partner commissions are paid correctly.
- Any other job duties associated with this role.
Experience & Skills
- Previous sales administration experience is essential.
- Experience running multiple diaries and supporting sales teams.
- Customer service experience required; sales experience advantageous.
- Experience in technology or renewable energy environments is advantageous but not essential.
- Strong computer literacy and experience using multiple software platforms.

By Month 3
- I will have completed the HubSpot Sales certification.
- I will accurately allocate, manage, and process leads on HubSpot and Unifii.
- I can confidently pre-qualify leads using the sales questionnaire, internet research, and Google Maps.
- I will be able to submit accurate, professional quotations with strong attention to detail.
- I will have a solid high-level understanding of SolarAfrica’s solutions.
By Month 6
- I will successfully coordinate deals with the Sales and Engineering teams.
- I can independently manage the credit review process and provide accurate feedback.
- I will confidently respond to customer enquiries and coordinate inter-department responses.
- I will be able to generate cash purchase proposals, agreements, and edit terms and conditions.
- I will understand the full product offering available to customers.
By Month 12
- I will be able to manage the sales process from lead through to project handover.
- I can read and understand electricity bills and tariffs.
- I will act as liaison between Sales, Engineering, Finance, Partners, and Clients.
- I will be able to manage wheeling proposals, credit checks, QLs, TRs, and handovers.
- I will ensure accurate pipeline management, reporting, and governance.
- I can independently chair sales and engineering meetings.
- I will ensure smooth project handover and commission payment coordination.
