Job Title: Administrative Assistant, Solar Operations
Position Summary:
SunVena seeks a motivated and detail-oriented Administrative Assistant to provide essential day-to-day
support for the Operations Department. The primary responsibility is to ensure all required project
components are processed in a timely manner, upholding high standards of quality and efficiency to
progress solar projects. This position reports to the Director of Operations.
Key Responsibilities:
- Perform data entry for all new deals, transferring information from the Sales CRM to the Operations CRM.
- Monitor the job board to identify projects ready for install and coordinate scheduling with the Install Team.
- Make calls to building departments to follow up on permits.
- Manage and track project deliverables and timelines.
- Prepare and submit Notice of Commencement’s for all projects.
- Maintain communication and positive relationships with AHJ’s (Authorities Having Jurisdiction).
- Monitor and update permit expirations, cancellations, and existing permits.
- Coordinate interdepartmental communications.
- Perform other administrative duties as assigned.
Qualifications:
- 2+ years of dedicated experience in solar operations administration or project coordination.
- Strong understanding of the solar project lifecycle, including AHJ permitting and utility interconnection.
- Proficiency with CRM and project management softwares.
- Advanced proficiency in Word, Excel, PowerPoint, and other computer applications
- Excellent written and verbal communication skills, including professional telephone etiquette.
- Proven ability to manage complex project deliverables, multitask efficiently, and maintain outstanding organizational follow-through.
- Self-guided, self-motivated, and proactive work ethic.
