Position Purpose:
|
Capstone Green Energy is seeking a detail-oriented and proactive Executive Assistant to support the Director of Investor Relations & Marketing. This role provides high-impact administrative support at the executive level, serving as a trusted partner to senior leadership and ensuring the smooth day-to-day operation of the Chief Executive Office.
The successful candidate brings exceptional organizational skills, sound judgment, and the ability to manage competing priorities with discretion and professionalism. This individual will coordinate complex scheduling, travel logistics, and executive communications while anticipating the needs of senior leaders and proactively resolving administrative challenges.

Executive & Calendar Management
- Manage the CEO’s calendar, including scheduling and coordinating meetings, appointments, and executive-level commitments with precision and discretion.
- Anticipate scheduling conflicts and proactively resolve competing priorities to optimize the executive’s time.
- Coordinate internal and external meeting logistics, including room reservations, dial-in setup, and participant communications.
Travel & Expense Management
- Plan and book domestic and international travel arrangements, including flights, lodging, ground transportation, and itineraries.
- Submit, track, and reconcile executive expense reports accurately and in a timely manner in accordance with company policy.
- Manage travel changes and last-minute logistics adjustments with composure and efficiency.
Meeting & Event Coordination
- Order and coordinate catering, lunches, and refreshments for internal meetings, leadership events, and board-level functions.
- Support the planning and execution of executive off-sites, team events, and investor-related meetings as needed.
Administrative & Project Support
- Provide general administrative support to the Chief Executive Office, including correspondence management, document preparation, and filing.
- Assist with special projects, investor relations support activities, and cross-functional tasks as directed by senior leadership.
- Handle sensitive and confidential information with the highest level of discretion and professionalism at all times.
- Perform other related duties as assigned.
- High school diploma or GED equivalent required; associate’s or bachelor’s degree preferred.
- Minimum 2 years of administrative or executive support experience, preferably supporting C-suite or senior leadership.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; experience with expense reporting tools a plus.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
- Demonstrated ability to handle sensitive and confidential information with discretion and integrity.
- Excellent written and verbal communication skills with a professional and polished demeanor.
- Reliable, punctual, and highly self-motivated with the ability to work independently with minimal supervision.
Preferred
- Experience supporting Investor Relations or finance-adjacent executive functions.
- Familiarity with domestic and international travel booking platforms and corporate travel policies.
- Experience in a manufacturing, industrial, or energy sector environment.
- Positive attitude, adaptability, and a proactive approach to anticipating executive needs.
- On-site role based at our Van Nuys, CA office; on-site presence required.
- Standard 40-hour work week with schedule flexibility based on executive needs.
- Extended periods of computer use, telephone communication, and desk-based work.
- Occasional support during time-sensitive executive situations may require availability beyond standard business hours.
Base salary range: $65,000 – $85,000 annually. Actual compensation will be determined based on experience, skills, and qualifications. This position is also eligible for company benefits consistent with applicable policies.
