Process Enablement Lead & Executive Assistant to the Chief Sustainability Officer

The Process Enablement Lead for the Global Product Compliance and Sustainable Impact organization will play a critical role in designing, implementing, standardizing, and maintaining core operating processes, documentation standards, and information management practices that support the effectiveness and efficiency of the entire organization. This position is responsible for driving process excellence and ensuring consistent practices across all teams. In addition to these primary responsibilities, the role will also serve as the dedicated Executive Assistant to the Chief Sustainability Officer & SVP, Global Product Compliance and Sustainable Impact, providing proactive, high-touch executive support such as calendar management, travel coordination, and expense processing.
Responsibilities – Organizational Process Coordinator
- Design, implement, and maintain a centralized repository Global Product Compliance and Sustainable Impact documentation, including defined structure, permissions, and ownership.
- Document and improve scalable business processes across Global Product Compliance and Sustainable Impact organization.
- Govern workflows such as global calendar operations, travel approvals, and license allocations.
- Identify risks, gaps, and inefficiencies; lead process improvement initiatives.
- Drive cross‑functional coordination ensuring standardized documentation and handoffs.
- Produce analytics and dashboards for leadership.
- Champion digital workflow tools (Teams, Smartsheet, SharePoint, Office365).
- Implement version control, naming conventions, and document governance standards
- Create and maintain standard templates
- Ensure documentation is current, accurate, and accessible
- Coordinate with other BUs to align on where Global Product Compliance and Sustainable Impact information lives and how it is shared
- Act as day-to-day steward of process hygiene and documentation integrity
- Serve as Global Product Compliance and Sustainable Impact point-of-contact for documentation and process questions
- Coordinate updates, approvals, and changes with internal stakeholders
- Support onboarding into Global Product Compliance and Sustainable Impact processes and standards
- Maintain visibility into dependencies across BUs
- Leverage AI to drive efficiencies across teams’ operations.
Responsibilities – Executive Support
- Provide high‑level administrative and strategic support, anticipating needs and preparing materials.
- Manage complex global calendaring and prioritize executive time.
- Manage all meeting logistics, scheduling, and coordination for CSO
- Coordinate domestic and international travel, logistics, and expenses.
- Serve as communication gatekeeper
- Prepare reports and briefing documents.
- Partner with the Chief of Staff on priorities and planning cycles.
- Support logistics for meetings, reviews, and engagement events.
- Maintain org charts, distribution lists, and delegated system access.
Maintain strict confidentiality. - Manage Global Product Compliance and Sustainable Impact Global Calendar
- Recognition Support and token distribution
- Manage Global Product Compliance and Sustainable Impact Travel Requests and acquiring CSO approvals
- New leadership team hire support as needed
- Shipping support as needed
- Purchasing via PCard and Procure360
- SharePoint and Teams Management
- Leverage AI to support CSO meeting preparedness and external event preparedness
Knowledge & Skills
- Strong project management capabilities, including planning, sequencing, risk tracking, and cross‑functional coordination.
- Demonstrated experience in process coordination and process improvement (Lean, simplification, standardization).
- Proven ability to manage multiple priorities in a fast-paced, evolving environment
- Executive support, calendar management, travel coordination, event logistics.
- Workflow management, office management, purchasing, invoicing, expense reporting.
- High proficiency in Microsoft 365, SharePoint, Teams, Smartsheet, Adobe, Copilot.
- Excellent communication, results orientation, learning agility, and digital fluency.
Education & Experience
- High school diploma, GED, or equivalent experience.
- Associate degree preferred
- 5+ years supporting senior executives; 8+ years preferred.
- Experience in sustainability, global operations, or complex enterprises preferred.
- Familiarity with HP systems (procurement, travel, expenses) preferred.
Impact & Scope
The Process Enablement Lead plays a pivotal role, leading cross-division operational and administrative initiatives to streamline processes and uphold documentation standards. This position supports organizational efficiency and compliance. The role involves handling complex assignments that require initiative, systems expertise, and collaboration across the organization to drive impactful, lasting improvements. This role will report directly to the Chief Sustainability Officer & SVP, Global Product Compliance and Sustainable Impact.
Salary
The pay range for this position is$40to$61USD per hour (applies to United States of America candidates only). Pay varies by work location, job-related knowledge, skills, and experience.
