Your Job
Private Events Captain is responsible for managing and coordinating all aspects of birthday parties at Tulsa Zoo including overseeing staff, guests, and activities ensuring the guests have the best experience possible while delivering the highest level of customer service. This role requires strong leadership, problem-solving, and guest service skills, with a focus on creating a positive atmosphere.
Your Essential Responsibilities

- Act as initial contact person/salesperson for birthday party inquiries. Respond to inquiries via telephone and email in a timely and accurate manner.
- Handle all portions of birthday parties, including reservations, contacts, organization of logistics, and communication both internally and with the client.
- Oversee pre-event setup and post-event breakdown, provide on-site supervision of logistics, manage event timing, and address client and guest needs.
- Responsible for all areas of birthday party finances including processing payments, coding relevant invoices, and compiling monthly reports for the Director of Private Events and Venues.
- Effectively communicate and demonstrate interpersonal skills with all levels of employees in a clear and professional manner.
- Demonstrate and adhere to TZMI’s workplace values.
- Know and follow zoo policies and procedures, including emergency protocols.
- Attend and participate in staff meetings and assigned training sessions.
- Other duties as assigned.
Supervisory Responsibilities
This position has no direct reports but must oversee volunteers on occasion.
What We Expect
Required Qualifications, Education and/or Experience
- 1-2 years’ experience in hospitality industry and/or event management; or equivalent combination of event management education and experience
- Must be 18 years or older, possess a valid driver’s license, and be insurable on TZMI’s insurance carrier
- Must be able to work weekends, evenings, and holidays
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and correspondence; speak effectively before groups of customers, employees of TZMI and the general public
- Ability to calculate figures and amounts such as discounts, proportions and percentages; apply basic concepts of algebra, geometry, fractions, percentages, ratios, and decimals to practical situations
- Microsoft Word; Microsoft Excel; Microsoft PowerPoint; Altru or equivalent ticketing system a plus; Internet Browser(s)- Explorer, Chrome, Safari, etc.
