The Indianapolis Zoo is seeking a Part-Time Clerical Assistant to support our Veterinary Hospital. This role plays a vital part in keeping daily veterinary operations running smoothly while supporting our mission to protect nature and inspire people to care for our world.
The ideal candidate is highly organized, detail-oriented, and comfortable working in a professional veterinary hospital environment. A welcoming demeanor is essential, as this role interacts with veterinary staff, Zoo departments, visiting professionals, and guests.
This is a part-time position (12-15 hours per week) with a flexible schedule between 8:00 a.m. - 5:00 p.m., Monday-Sunday.
What You'll Do
- Provide administrative, clerical, receptionist, and secretarial support for the Veterinary Hospital
- Greet visitors, screen incoming calls, and serve as a central communication hub for veterinary staff
- Maintain and organize veterinary medical records, digital files and departmental documentation
- Assist with scheduling, calendars, meetings, and departmental communications
- Support veterinary staff with travel arrangements, visiting consultants, interns, students, and volunteers
- Maintain confidentiality of sensitive medical, financial, and operational information
- Monitor and control access to the veterinary facility and support safety and security protocols
What We're Looking For
- Demonstrated interest or experience in Zoo or veterinary medicine
- Prior experience in a veterinary hospital or medical office environment
- Experience using ZIMS medical record system is beneficial
- Strong computer skills, including Outlook, Word, Excel, PowerPoint, and Access
- Excellent written and verbal communication skills
- Highly detail-oriented with strong organizational and follow-through skills
- Ability to multitask and work effectively under pressure
- Team-oriented mindset with a professional attitude and appearance
- Veterinary technician education or veterinary assistant experience is preferred
Education & Work Requirements
- Degree from an accredited university, college, or technical school
- Ability to remain stationary for extended periods and move items up to ten (10) pounds across Zoo grounds
- Ability to use office equipment such as computers, printers, scanners, and copiers
- Possible exposure to cleaning chemicals, dust, pollen, and bloodborne pathogens (Category C employee)
