Since 1981, the Golden Gate National Parks Conservancy (Parks Conservancy) has served as the nonprofit partner of the National Park Service, collaborating with the Presidio Trust, partners, donors, and the community to support the Golden Gate National Recreation Area (GGNRA). The GGNRA stretches across three Bay Area counties north and south of the Golden Gate Bridge and includes iconic places such as Muir Woods National Monument, Fort Point National Historic Site, Alcatraz Island, Crissy Field, Mori Point, Lands' End, and the Presidio of San Francisco.

Department Description:
The Volunteers & Internships (V+I) team supports high-quality, inclusive volunteer and internship experiences across park sites in partnership with the National Park Service and the Presidio Trust. The team coordinates individual and group volunteer programs, internship pathways, and large public service days, with an emphasis on access, safety, and strong relationships with staff, partners, and community members.
Position Overview:
This is a non-exempt, regular full-time position of 32 hours per week.
The Operations Coordinator keeps V+I (Volunteers & Internships) operations running smoothly so programs can deliver safe, high-quality, volunteer and internship experiences. The position owns day-to-day purchasing and invoices, onboarding and access logistics, shared fleet and facilities coordination for the V+I team, and basic systems upkeep and documentation. Budget strategy and reallocations remain with program Managers; the coordinator maintains trackers and monthly reconciliation tools to support that work.
This role supports operational systems, logistics, and communication tools so that volunteer and internship programs can run safely, efficiently, and in alignment with tri-agency and Conservancy procedures.
This position is located primarily at Fort Mason in San Francisco. Work is performed in an office setting and at park sites, including a mix of telework and on-site work. This role requires 3 days on site/week with occasional Saturdays and weekends.
Reports To: Director of Volunteers and Internships
Essential Functions and Responsibilities:
Finance and Purchasing
- Prepare and submit invoices and simple purchasing packets in alignment with Conservancy procedures.
- Code and track small purchases for volunteer and internship programs; keep an up-to-date purchases log.
- Coordinate deliveries to Fort Mason 34 and other sites, ensuring items are labeled and routed correctly.
Onboarding and Access
- Coordinate access needs for new staff (e.g., SharePoint permissions, Outlook/Teams access requests in coordination with IT).
- Manage keys, badges, and building access requests for the V+I team.
- Coordinate uniform orders, distribution, and exchanges in collaboration with relevant teams.
- Support orientation logistics, including room reservations, materials, and basic tech setup.
Fleet and Field Logistics
- Maintain a simple fleet calendar and process for vehicle reservations for the V+I team.
- Assist with driver clearance tracking and related documentation.
- Coordinate radios and other shared field equipment for programs; flag conflicts and gaps in availability.
Facilities and Supplies
- Request, receive, and organize seasonal program supplies (e.g., gloves, tools, clipboards, PPE, event materials).
- Keep V+I storage areas labeled, organized, and stocked in coordination with program staff.
- Manage or co-manage uniform distribution and exchanges for V+I team.
Systems, Documentation, and Intake
- Maintain the V+I “ops hub” (SharePoint or similar) with current SOPs, forms, quick guides, and checklists.
- Support team with room reservation, note taking, and space rental
- Support basic data pulls and report formatting from systems, in collaboration with program leads and database staff.
- Track staff training logistics and requirements (e.g., onboarding modules, safety trainings), coordinating with Program Managers and Director.
Events and Reporting
- Support pre-event operations for major service days (e.g., MLK Day, National Public Lands Day, large corporate or VIP service projects) including supplies, radios, rosters, waivers, and basic risk-management items.
- Learn and gain knowledge on basic reporting, including pulling participation numbers and simple summaries from shared systems.
- Tri-Agency and Partnership Logistics
- For tri-agency items with NPS and the Presidio Trust, coordinate meeting logistics, permit routing, and simple documentation; program leads set scope and priorities.
- For Volunteer Celebrations, special and corporate volunteer events, coordinate logistics (rooms, supplies, food orders, AV) while program leads and partners own content and agenda.
Other Duties as Assigned
- Support other operational projects and cross-team efforts as needed to strengthen volunteer and internship programs.
- Support planning and logistics for V+I team meetings, recognition events, all-staff gatherings, retreats, and trainings (room reservations, materials preparation, food orders, AV setup).
- In collaboration with Department leads, serves as an operations and administrative liaison for specific tasks with other Parks Conservancy teams, tri-agency and One Tam partners.
- Attend monthly Parks Conservancy wide Operations and Administrative meetings and collaborates with other Operations Managers across Community & Youth Branch and organization to ensure consistent practices and systems are in place
Supervision: This position does not supervise staff.
Knowledge, Skills, and Abilities:
- Strong organizational skills and attention to detail; able to manage multiple queues of requests and follow through to completion.
- Clear, proactive communicator in email, chat, and in person; able to summarize options and next steps for busy program staff.
- Comfort with basic operations tools such as SharePoint, Office 365 (Outlook, Teams, Excel, Word), simple intake or ticketing forms, purchasing and expense platforms.
- Ability to learn and follow financial coding practices, purchasing protocols, and invoice preparation requirements.
- Ability to maintain and improve simple trackers (Excel or similar) for purchases, access, fleet, and supplies.
- Ability to work both independently and as part of a cross-functional team, asking questions and escalating issues as needed.
- Ability to maintain composure and problem-solve in the lead-up to large events and program deadlines.

Education and/or Experience:
- One or more years of experience in operations, logistics, or administrative support for programs or events (in any sector).
- Database systems knowledge a plus
- Experience in public lands, education, youth development, or nonprofit program settings is a plus but not required.
- Any combination of professional, volunteer, or lived experience that demonstrates the knowledge, skills, and abilities to perform the job will be considered. Formal degrees are not required for this role.
Certifications or Licenses:
- Valid California driver’s license and ability to meet Conservancy driver clearance requirements (or willingness to obtain within a specified timeframe).
- Ability to complete required trainings (e.g., safety, defensive driving, data privacy) as assigned
- This position will require mandatory and job-specific trainings and workshops.

Physical Requirements and Work Environments:
- Work is performed in an office setting, in storage areas, and at outdoor park sites.
- Work is primarily performed sitting at a desk using a computer and phone, with regular standing, walking, and light lifting.
- Regularly uses a computer, phone, copier, and other office equipment for 4–6 hours per day.
- Regularly drives or travels between Fort Mason and other local park sites.
- Must be able to lift and carry boxes of supplies and equipment, up to approximately 30 pounds, with or without reasonable accommodation.
- Some early mornings, evenings, or weekends may be required to support large volunteer events or time-sensitive operations needs.
Pay Rate/Benefits:
This is a 32-hour per week, benefited position. The pay rate is $26.50/hour (pay grade 14).
