Reporting to the Division Manager and the Director of Operations, the Assistant Operations Manager is a dual-purpose role requiring excellent administrative, relationship, communication and customer service skills with the ability to understand and independently coordinate the administrative needs of the site as well as providing progressively responsible operational support/administration. Duties include, but are not limited to the following:

Supervise and coordinate the activities of staff and volunteers.

Exercise judgement and discretion in supervising and coordinating day-to-day operations.

Plan, coordinate and oversee inbound and outbound shipments of goods, materials, commodities and interdepartmental services.

Maintain site to maximize customer comfort, safety, and ease in unloading materials.
-
Handle, resolve or refer various customer issues.
-
Assists management in operational/administrative functions at other Divisions as assigned.

Assigns responsibilities, set deadlines, monitors and summarizes progress of projects for management.

Cash drawer reconciliation and proper delivery of revenues to office safe and/or banking institution

Preparing and mailing accounts receivable statements, invoices or notices
-
Internal accounting and data development (KPIs, hauling hours, debits/credits, daily transactions, etc.)

Collecting, applying and properly recording/reconciling customer account payments
-
Preparing, coding and submitting accounts payable invoices for approval
-
Filing/retention of approved accounts payable and general site records as appropriate
-
Assistance with grant workplan implementation and reporting as applicable.

Coordinates roll-off sales, logistics and general site operations
-
Take sales calls from customers for roll-off container and drop-off recycling services
-
Externally solicits new customers for roll-off and drop-off recycling services
-
Makes container bookings; independently produce and execute work orders
-
Schedule/dispatch drivers in the most economical ways available
-
Executes strategies to optimize maximum roll-off turnover times, assessment of extra day charges and identifies accurate price points that account for container sizing, distance, sorting and disposal costs

Track and communicate with drivers throughout the day to ensure schedules are being maintained
-
Work with vendors to maximize diversion from landfill, including LEED reporting.

Ensure sales records are completed properly and submitted for accounts receivable

Collaboratively with the Division Manager, co-develops systems, policies, and procedures for all site operations/functions; trains and rotates staff through all operational onsite roles/functions

Coordinate vehicle/equipment management; predictive maintenance and repairs
-
Collects data, prepares reports and offers insight to the Manager about the business status, including budgets, accounts payable and accounts receivable, site utilization, operational efficiency, etc.

Conducts research, compiles, analyzes and reports on past, current and future site operations, trends, and industry initiatives to support ongoing and future site operations and development

Makes recommendations to the Manager on accounting, administration and efficiency improvements

Assists in employee union matters, onboarding, training, performance reviews and discipline/termination.

Develops and executes site marketing and business development plans with the Marketing Department

Responsible for compliance with local, state and federal site licenses, prevention plans and other regulatory obligations (eg - OSHA, DOT, MI Secretary of State, EGLE, Washtenaw County, etc.)

Oversight of general site/facility cleanliness and ensures housekeeping plan is followed in assigned areas and that all areas are cleaned, checked and are effectively in a continuous compliance

Participate in Safety Committee meetings and organizational safety initiatives; assists Manager in ensuring customer, employee and general site safety at all times

Serves as a back-up to Division manager(s)n their absence or as required

Assist in the planning and participation of special events as required
