Job Summary
The Accounts Receivable Specialist is responsible for managing the company's receivables by ensuring timely and accurate processing of invoices, payments, and account reconciliations. This role involves working closely with customers and internal teams to resolve billing issues and ensure effective cash flow management.
This position is a full-time position working out our Charlotte, NC Office.
Key Responsibilities
- Invoicing and Billing:
- Prepare and send accurate invoices to customers in a timely manner.
- Ensure compliance with company policies and customer agreements regarding billing.
- Payment Processing:
- Record and apply payments, including checks, ACH, and credit card transactions.
- Monitor accounts for overdue payments and discrepancies.
- Collections:
- Follow up on overdue accounts via phone, email, or mail to ensure timely collections.
- Negotiate payment plans when necessary.
- Account Reconciliation:
- Reconcile customer accounts to ensure all payments are accurately applied.
- Investigate and resolve discrepancies, such as overpayments or short payments.
- Reporting:
- Prepare and maintain accounts receivable aging reports.
- Provide regular updates to management on outstanding balances and collection efforts.
- Customer Relations:
- Respond to customer inquiries about invoices, account balances, and payment history.
- Maintain positive relationships while addressing disputes professionally.
- Internal Collaboration:
- Work with sales, customer service, and other departments to resolve billing issues.
- Assist in month-end and year-end closing processes related to accounts receivable.
CARS
A Certified Accounts Receivable Specialist (CARS) is a professional designation that signifies expertise in managing accounts receivable processes. This certification is typically earned through a training program or course that focuses on the skills and knowledge required to handle accounts receivable effectively, including invoicing, collections, reconciliation, and compliance with financial regulations. Qualifications
Education and Experience:
- High school diploma or equivalent required; associate's or bachelor's degree in accounting, finance, or a related field preferred.
- 2+ years of experience in accounts receivable, billing, or a related accounting role.
- Working knowledge of QuickBooks Online, specifically invoicing related tasks.
Skills and Competencies:
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office Suite, particularly Excel, and Google Suite, particularly Google Sheets.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- High level of accuracy and attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Certifications (Optional):
- Certified Accounts Receivable Specialist (CARS) or equivalent certification is a plus.
Work Environment:
- Office-based role.
- May require occasional overtime during month-end or year-end closing periods.
