YOUR POSITION WITH TNC

The Europe Policy and Public Funding (PPF) teams are essential for TNC to advance its global and Europe‑specific policy goals and to develop partnerships with key European public donors to mobilise finance for climate and nature globally. The teams are spread over three European offices – Berlin, Brussels and London – and work closely with TNC’s global and regional teams, EU institutions and national governments.

The PPF Operations Specialist will be a core member of the Europe Business Unit providing day‑to‑day administrative and organisational support to PPF teams, including management of internal databases, calendars, event organisation, internal and external communications, and support in budget preparation and tracking.

ESSENTIAL FUNCTIONS

The specialist will provide daily administrative and organisational support to the PPF teams, supporting planning and execution of events and meetings, central filing and internal data management, internal communications, recruitment, training, recognition of staff, and finance‑administrative tasks such as processing forms and assisting in budget and report preparation.

RESPONSIBILITIES & SCOPE

Coordinates and supports PPF team engagement, including team meetings, internal communications, retreats and travel.
Keeps track of and manages PPF team records and data requirements using TNC’s Hub, BB CRM, Box, Workday, Smartsheet and other content‑management software.
Supports the teams with contracting procedures and financial‑administrative monitoring of complex trips and events, working with external travel agencies.
Supports logistics of meetings with partners, stakeholders and donors in all locations.
Schedules meetings with TNC staff, stakeholders and partners, circulates materials, takes notes and follows up.
Ensures TNC’s policies, financial standards and legal requirements are met and managed for compliance.
Provides support for management and budget tracking for the PPF teams.
Travels occasionally and works flexible hours as needed.

MINIMUM QUALIFICATIONS

Bachelor’s degree in Business, Finance, Resource Management or related field and 4 years related experience, including 2 years proven experience as an Administrator, Administrative Assistant or relevant role.
Experience supporting teams in data and information management, internal and external communications and the organisation of meetings and events.
Experience with Microsoft Office suite, especially Excel and Word.
Excellent organisational and time‑management skills.
Fluency in English and strong command of written and spoken French.
Strong interpersonal and communication skills.

DESIRED QUALIFICATIONS

Knowledge of the Brussels environment, hospitality, financial and legal frameworks.
Multi‑lingual skills and multi‑cultural or cross‑cultural experience.
Experience working in a decentralized organisation with a diverse, distributed team.
Ability to manage and implement complex processes.
