The Plant Administrator will report directly to the Plant Manager and is responsible for providing support to their assigned wind and/or solar sites. Duties include budget management, inventory management, work order management as well as providing support to the Plant Manager, Plant Supervisor and Plant Technicians as needed.
The Plant Administrator responsibilities include but are not limited to:
- Complete daily review and timely closure (TECO) of all work orders to ensure accuracy of data; within three days of the basic finish date of the work orders
- Have the ability to forecast and communicate needed adjustments to the Availability Focused Inventory (AFI)
- Effective management of site inventory including but not limited to reviewing logistics reports, timely goods receipting, submission of weekly inventory order, conduct the monthly cycle counts truthfully as well as maintain oversight of inventory area(s) to ensure it is clean and well organized (i.e. all parts and bin locators are labeled, areas are free from debris, no non inventory items are mixed, etc.)
- Creation and effective management of purchase requisitions (PR) and purchase orders (PO) with proper codes (i.e. material code, analytical order, etc.) selected to ensure appropriate financial analysis and reporting
- Take initiative to forecast PM material needs/changes as applicable and update the Bill of Materials and/or safety stock quantities and release Preventative Maintenance Work Orders 120 days in advance to ensure timely delivery of PM materials to reduce the number of expedited or inaccurate parts requests
- Work closely with suppliers to ensure they have the understanding of how to invoice correctly to avoid delinquent payments
- Review VIM daily for invoice management or other actions as needed (i.e. tax, freight, credit memos, etc.)
- Effective management of accruals to ensure financial analysis and reporting occurs in the appropriate month the good or service was rendered
- Demonstrates knowledge of when the bid process is required and the steps necessary to proceed
- Comprehend and execute Large Corrective Maintenance requirements (i.e. work order creation/completion, parts consumption in a timely manner, and all necessary PR/PO needs etc.)
- Have a complete understanding of accounting practices in order to provide timely and accurate responses to reports regarding Financial and Budget Performance
- Maintain site office supplies and materials as needed
- Verify and establish new suppliers as needed
- Plan and coordinate company functions such as team building events, regional meetings, etc.
- Provide timely and professional responses to requests such as reports and e-mails from all areas of the business
- Assist and provide support to site staff on new fleetwide initiatives, operational changes, etc.
- Must work closely and in a professional manner with all areas of the business
to ask questions and seek out answers (from peers, Manager, Plant Administration, etc.) to resolve issues or concerns as they relate to plant administrator duties
- Assist with onboarding of new personnel and provide IT support as needed
- Must be able to provide support during quality audits of plant administrative work practices to ensure consistency and accuracy (ex. Work orders, Open purchase order and requisitions, availability control management, etc.)
- Must be able to communicate clearly orally and in writing with all employees in all areas of the business
- Must be able to demonstrate proficiency in SAP
- Position may require up to 20% travel
Required Qualifications
- HS Diploma/GED and minimum of 1-3 years’ experience in a comparable administrative role; or equivalent combination of education and experience.
- Knowledge of Microsoft Office (Word, Excel, Teams and Outlook) with the ability to set up MS Windows profiles, email settings, printer access and desktop shortcuts, and the ability to interface with Helpdesk support on network and local server issues. Demonstrated skills in typing and proofreading.
- Must have proficient knowledge of SAP or similar data entry programs
