This position will have no direct reports and will report to the Environmental Affairs Manager.
What you will do:
- Provide data coordination/management and administrative assistance to the Environmental Affairs Department Manager and staff
- Meet strict deadlines to submit accurate reports and correspondence relating to regulatory permits to local, state and federal environmental agencies. Accuracy, timelines, and recordkeeping are essential to sustain environmental regulatory compliance
- Maintain the permit required data management filing system
- Responsible for all outgoing correspondence relating to permits and environmental compliance to both outside environmental agencies and internal distribution
- Distribute all incoming correspondence
- Maintain an extensive data management filing system. Must have accurate and current records for permit compliance and regulatory audits
- Responsible for the site Environmental Action Program to ensure environmental compliance. Set up new permits, actions, and assign responsible personnel
- Maintain monthly budget information
- Department EAM Coordinator, enter all work orders, requisitions, and warehouse orders for the Environmental Affairs Department, including the EA Lab, receives and processes all invoices
- Prepare reports as needed by the manager and staff including:
- Monthly DMR (Daily Monitoring Reports) for six (6) effluent outfalls
- Monthly Water Usage Report for potable water
- Groundwater Monitoring System Program: Input analysis and prepare well reports (includes NPDES Wells, Cooling Pond Wells, Waste Water Treatment Plant Wells, Tank Farm Wells, etc.)
- Air emission stack test source performance reports
- Daily downloads of Met Station Datalogger
- SARA Title III, Emergency Planning and Community Right-to-Know Act (EPCRA) Chemical Approval Spreadsheet site wide
- Quarterly Reports including the Quarterly Stack Testing Isokinetic Summary, EPCRA New Chemicals Report and Hazardous Substance Lists
- Receptionist for the Environmental Affairs department via telephone and in person
- Route invoice approvals, reports, procedure updates to appropriate personnel
- Schedule department meetings, order meals, and coordinate visitor entry
- Prepare graphs and PowerPoint presentations
- Manage weekly on-call files for Environmental Affairs
- Manage the Environmental Affairs Intranet page
- Other regular duties include: Checking & filing of Weekly Used Oil Tank Inspection forms, Monthly Outfall Calibration forms, Distribution System Flushing foms, and incoming fuel analyses
- Coordinate for annual Environmental Audit
- Incumbent must be quick thinking and able to deal with multiple projects at the same time
- Must be able to handle large amounts of incoming and outgoing correspondence and reports
- Manage many telephone interruptions and visitors in and out of the office
- Manage daily details of correspondence such as duplicate or triplicate copies of reports to State and Federal regulatory agencies, blind carbon copies, etc
- Perform word processing, copying, filing and editing work of others without error
What you will bring:
- High school diploma or equivalent is required
- 2-6 + years of experience in the environmental field and experience working with local regulatory agencies is preferred
- Office management or secretarial experience is recommended
- Computer (Microsoft Word, Excel, FrontPage, PowerPoint, Access, and Lotus Notes) and office equipment (telephone system, copperier, fax machine, etc.) skills required
