The Sustainability Team Assistant is critical in helping to prioritize and develop the programs and activities of AXA XL’s global Sustainability team. This is a varied role with opportunities to work across our environmental and social sustainability programs, as well as supporting AXA XL’s sustainability-related communications, reporting and governance.
The successful candidate will have experience in previous administrative roles, along with a demonstrable passion and interest for Sustainability topics. You will be highly organized, with excellent attention to detail and the ability to communicate with different internal and external stakeholders. The ability to anticipate needs, think critically, and offer solutions to problems is crucial to this role.

What will your essential responsibilities include?
- Managing our due diligence processes for charitable donations made across AXA XL, including reviewing charity websites, documenting evidence of checks, and preparing Letters of Agreement
- Supporting the Green Contribution program including assisting with the preparation of Committee meeting materials, supporting the project application process, and following up with stakeholders on project outcomes.
- Supporting with the collation and reporting of AXA XL’s carbon footprint data
- Coordinating the collation and reporting of social impact data for AXA Group (annual CIS Survey)
- Supporting the development of the XL Foundation including coordination with stakeholders, editing and updating documents, and managing logistics
- Managing administrative tasks for our global Regional Grant program, Matching Gift program, Global Day of Giving / AXA Week for Good and other charitable giving tasks as needed
- Assisting the Sustainability team with coordinating meetings and communications with internal and external stakeholders
- Managing our VolunTree Heroes program, including recruiting and identifying colleagues to profile, working with communications to prepare their stories, and coordinating tree purchasing with our nonprofit partner to recognize volunteering hours donated
- Managing invoice processing, budget tracking and COUPA-related tasks
- Supporting with content collation for the annual Sustainability report
- Managing the Sustainability inbox, ensuring timely responses to enquiries
- Assisting the team with various sustainability projects as needed, including tracking deliverables and helping to drive key projects to completion by following up on outstanding items.
