SGRE is currently seeking highly talented and motivated candidates for a Service Administrator position. The candidate will work closely with Service Operations to support on boarding new team members, ensuring training needs are identified and addressed for them, handling purchase order placement and management of invoices and provide general administrative support to the whole department.
General responsibilities overview:
Ensures adherence to defined guidelines, processes and procedures.
Contributes to budget planning and resource allocation and checks progress of transactions and workflows.
Proposes procedure improvements and implements approved changes.
Manages transactions with involved internal and external parties.
Responds to operations related inquiries and produces regular reports for management.
Relocation will not be offered for this role.
Responsibilities:
Manage PO creation process for external labor in SAP/Ariba for the department
Support material Goods Receipts
Maintain and track all purchase order spending
Review and approve invoices after validating accuracy of invoices against timesheets
Audit PO's regularly and ensure invoices are being submitted timely by vendors
Initiate closure of PO's once all invoices are received/paid
Initiate increases in PO's if extensions are needed during the life of the project
Assist with budget forecasting:
Review actual hours recorded in timekeeping system
Validate Contractor Headcount
Reconcile invoices for unpaid hours
On board new hires (contractors and direct employees) including equipment ordering, account setup, training profile setup and access control for needed systems.
Run various reports for management on a weekly, bi-weekly and monthly basis
Maintain team SharePoint site and access rights
Assist managers with updating training profiles for site personnel to include:
Running gap analysis reports regularly
Manage site document archiving with Iron Mountain
Support team with miscellaneous requests
Order office supplies and other materials as needed
Book meeting rooms / order food
Propose procedure improvements and assist with documenting changes to procedures
Vehicle management
Required Knowledge, Education, Experience and Skills
High School Graduate/GED/Equivalent Work
Passion for renewable energy and a sense for the importance to lead the change
Must have a minimum of 2-5 relevant years of experience
Strong team-player with the ability to work independently
Ability to work in a fast paced environment and demonstrate ability to meet deadlines
Work in a customer-oriented manner – both internally and externally
Strong communication skills needed - both written and verbal
Adept at using MS Office (Word, PowerPoint, Excel, SharePoint) and ideally have good SAP knowledge
Business fluent in English language (written and spoken)
This position allows for 40-50% remote work.
Ability to accommodate 15% travel
