Job Summary
We are seeking a highly organized and detail-oriented Administrative Associate to join our team. The ideal candidate will play a crucial role in maintaining the smooth operation of our office and providing essential support to leadership within various departments.
Responsibilities
- Assist in facility management and work with other departments to ensure smooth operations in all our locations.
- Collaborate with HR & IT for onboarding new employees, including phone, laptops and orientation arrangements.
- Greet and assist visitors, clients, and employees in a professional and friendly manner.
- Assist in executives' schedules, appointments, and travel arrangements when needed.
- Maintain and update the filing system, both physical and digital, ensuring easy access to important documents.
- Order and maintain office supplies and equipment inventory.
- Handle incoming and outgoing mail, packages, and deliveries.
- Coordinate and schedule meetings, conferences, and events, including arranging necessary facilities and equipment.
- Prepare and distribute internal and external communications, memos, and reports.
- Assist with the preparation, editing, and formatting of documents, presentations, and spreadsheets.
- Support other departments with other administrative tasks as needed.
Requirements
- High school diploma or equivalent.
- Associate's degree or higher is a plus.
- 2 - 4 years of experience as an administrative associate or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite.
- Positive attitude and team player. Always willing to lend a hand and assist others.
- Excellent communication skills, both written and verbal.
- Strong organizational and multitasking abilities.
- Attention to detail and a high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional customer service and professional.
- Strong problem-solving skills and a proactive approach to tasks.
