Assist with Indirect Tax responsibilities including preparation and filing for 120 monthly sales/use tax returns, 1,800 annual property tax payments, and 2,000 annual unclaimed property due diligence request. Review and update sales tax rate matrices for over 200 separate locations. Perform annual SOX control review and testing for approximately 120 locations.
Essential Functions:
Sales/Use Tax
- Prepare and file sales/use tax returns (number fluctuates depending on the monthly, quarterly, or annual filing periods)
- Track, prepare and file monthly Canadian federal and provincial non-income tax returns
- Maintain Nation Accounts taxability matrix by location.
- Maintain and update in a timely manner the National Accounts rate matrix
- Coordinate with purchasing group, asset management group and operations to research correct tax treatment for large purchases include construction projects and machinery and equipment purchases ensuring that the appropriate tax is accrued and paid
- Assist with audits including data mining, issue resolution, and overall strategy
- Coordinate with Credit Group and the PNP Helpdesk to establish and maintain an approval process for documenting exempt treatment of customers
- Maintain and update in a timely manner the Pick-N-Pull POS taxability grid and rate matrix
- Monitor monthly asset transfers and self-assess the appropriate tax
- Develop and maintain a builder manual for the PNP Helpdesk outlining exemption documentation requirements for builder sales by location
- Assist with Puerto Rico tax registrations, purchases, and filings
Property Tax
- Confirm, maintain, and update property ownership, tax payment responsibility, and payment schedules using in-house property tracker and 3rd party database paying approximately 1,800 installment payments annually
- Perform annual SOX control review for owned parcels
- Assist with audits including data mining, issue resolution, and overall strategy
- Assist with annual Puerto Rico property tax return preparation and filing, while making appropriate quarterly estimated payments
- Assist with railcar mileage collection and annual return filing process
Unclaimed Property
- Assist with reconciliation of monthly corporate unclaimed property account communicating with the Accounting Team as necessary to adjust reconciling items
- Preparing, mail, and track due diligence notifications of property ownership
- Assist with data transfer with 3rd party service provider to prepare and file annual unclaimed property returns in 55 jurisdictions
- Work with Payroll, Accounting, and other departments to maintain accurate unclaimed property balances and reissue up to 1,000 payments annually
Licensing
- Review and maintain state taxing agency registrations
- Assist with filing unique licenses including annual Washington barge registrations and City of Bremerton, WA annual registration, while assisting the Licensing Team with other filings as needed
Purchasing
- Prepare necessary purchase orders for Indirect Tax Team
Internal Control Responsibilities:
Assist with sales/use, property tax, and unclaimed property filings and payments following detailed policies and procedures. Perform annual SOX control review and test for owned property locations.
Job Conditions:
In office work required 2-4 days per week.
Physical Activities Required to Perform Essential Functions:
Desk work with occasional lifting of boxes weighing less than 50 lbs.
Qualifications:
- Bachelor’s degree in Accounting or related field preferred or a combination of education and experience.
- 1-2 years of experience in an accounting or sales/use tax role
- Experience with MS Office (Excel, Outlook, PowerPoint).
- Proven accounting, analytical, and research skills.
- Excellent written and oral communication skills.
- Strong ability to utilize project management and accounting best practices to organize and prioritize tasks.
- Ability to work well proactively and independently as well as the ability to work well with tax team members and the ability to work cross-functionally with other member of the Finance team or Operations.
- Prior sales/use tax filing experience and/or Oracle experience a plus.
